About the Role
We're looking for a sharp, systems-driven Executive Assistant to support Kip, a busy
Realtor and real estate business owner. This is not a passive inbox-monitoring role or
a bubbly front desk position. You will be in the middle of active deals, fast-moving
conversations, and real decisions — and you'll be expected to move with the same
speed and precision as the person you're supporting.

What You'll Do
Operations and Transaction Coordination
- Monitor and update the deal management system; track due dates and
- proactively flag anything at risk
- Record outcomes from appointments and calls promptly and accurately
- Prepare all relevant supporting documents and information so Kip walks into
- meetings prepared
- Prepare complete, polished appointment folders so every meeting starts
- organized and professional
- Collect all relevant information and communicate it clearly to Realtors, clients,
- lawyers, and outside vendors; execute a high volume of tasks and make
- decisions confidently within clearly defined guidelines we provide and train
- you on
Communication & Inbox Management
- Own the email inbox — triage, draft, send, and follow up
- Manage Kip's calendar with care and foresight
- Take instructions over the phone (sometimes rapid-fire, sometimes 9 things at
- once) and execute independently without needing to circle back
Accountability & Follow-Through
- Proactively push Kip to stay on top of commitments, deadlines, and action items
- Use established follow-up cadences to stay on top of Kip, clients, vendors, and
- anyone else who needs a nudge — without being asked
- Adapt fluidly as the day shifts — when appointments move and priorities
- change, you recalibrate without missing a beat
- Anticipate what's needed next and have it ready
Who You Are
- Extremely Type A. You notice when things are slightly off and you fix them.
- A strong academic track record. You took school seriously, applied yourself,
- and it showed. That same work ethic is what we're looking for here.
- A strong writer and communicator. Clear, direct, human. No AI-generated
- fluff.
- A context-switcher. You can go from a deal update to a calendar reschedule to
- drafting an email without losing a beat.
- Resourceful. When you hit a wall, you find a way around it.
- Process-oriented. You don't just follow systems — you love them. You improve
- them.
- Autonomous. Once you have the training and direction, you run. You don't
- need hand-holding.
Requirements
- Exceptional written and verbal communication skills
- Comfortable receiving and executing multi-part verbal instructions in real time
- Comfortable with technology, including CRM, deal management tools, calendar
- platforms, and email
- Ability to maintain confidentiality and exercise strong judgment
- Availability to respond quickly during business hours
- No real estate experience required — we train you on everything. What we can't
- train is the personality: sharp, organized, and genuinely wired for systems
- Minimum typing speed of 60 WPM
- Comfortable occasionally running errands or handling tasks outside the office as
- needed

Pay: $51,487.00-$60,000.00 per year
