Administrative Assistant

How does the role impact the organization?

Drawing on industry experience in a financial services firm or previous experience in an administrative role, you will be responsible for providing administrative support to the Financial Advisor team and outstanding service to client. The right candidate is self-motivated with exceptional administrative skills, has a dependable nature and brings an ability to work within deadlines both independently and as part of a team. This position will support a dynamic team who is looking for a self-starter who is able to connect with others, has a proactive approach to problem solving and enjoys working in a fast paced environment.

What is the position responsible for?

Handle all incoming and outgoing phone calls;
Manage and maintain all paperwork;
Prepare professional correspondence and reports, documents, and files;
Respond to requests for information in a timely manner;
Service clients’ general day-to-day requests;
Communicate internally with various operational and administrative departments;
Maintain the Customer Relationship Management (CRM) software;
Manage our WOW service client program; and
Initiate and manage a proactive social media campaign.

What do we expect from you?

Knowledge of MS Office (Word, Excel, PowerPoint, and Outlook), Internet Explorer and business related software;
Previous experience with use of Social Media (Facebook, LinkedIn, Twitter, Instagram & YouTube);
Organizational and problem solving skills;
The ability to learn independently;
A proactive self-starter with a ‘can do’ attitude and the desire to take ownership of their position;
Pay meticulous attention to detail;
Prioritize and manage multiple deadlines and tasks; and
Work in a team environment and demonstrate a professional and friendly manner.

Education and Experience

Minimum 2 years of administrative experience; and
Post-secondary education.

Licenses and Certifications

CIRO licensed is an asset.

Previous experience using a CRM (Customer Relationship Management) software is an asset.

Salary Range: $50,000-55,000 annually, in addition to competitive performance bonuses/incentives.

Actual compensation will be determined based on skills, experience, internal equity, and other job requirements.
