Administrative Assistant – Part Time

Kelowna Sales Office

Engineered Air is one of North America's largest manufacturers of heating, air conditioning, ventilation, refrigeration, energy recovery, heat transfer products. Engineered Air's integrated sales, design and manufacturing groups enable the company to produce equipment that is designed to fit a specific project's requirements.

Engineered Air is seeking a dynamic, results oriented individual to fill the role of Administrative Assistant for our Kelowna Sales Office. This is a part-time position, requiring 6 hours per day, 2–3 days per week. Engineered Air is looking for an individual desiring a long-term employment opportunity. Engineered Air offers remuneration packages that include industry competitive salary and benefits.

RESPONSIBILITIES:

Answer and transfer telephone calls to the appropriate individuals.
Greet customers and offer support to meet their needs.
File orders, reports and other files as required.
Order entry and tracking of submittal drawings, approvals, and production schedules.
Review submittal drawings and compare to order entry for accuracy and report discrepancies.
Administer parts orders.
Maintain and order office supplies as needed.
Prepare and drop off bank deposits.
Tracking invoice aging reports.
Compile credit response and submit report on over 60 day accounts
Monitor customer account details for non-payments, delayed payments and other irregularities.
Maintain accounts receivable customer files and records.
Manage credit applications and updates as required.
Carry out billing, collection and reporting activities according to specific deadlines.
Manage office calendars including salesperson daily meetings and board room bookings.
Other duties as assigned.

EXPERIENCE REQUIRED:

Minimum 3+ year's administration experience in a multi-person office setting.
Knowledge of reviewing submittal drawings for accuracy and report discrepancies would be an asset.
Ability to create and automate data entry and retrieval from within Excel or other Microsoft programs would be a definite asset.

SKILLS REQUIRED:

Advanced skill level in Microsoft Word, Excel, and Outlook is required.
Must possess a high level of verbal and written communication skills.
Strong organization skills and attention to detail, with a great level of accuracy.
Should be a team player and have the ability to work independently.
Strong customer service skills are a must.
