This role is central to our day-to-day operations and plays an important part in delivering a positive experience for our employees, clients, and visitors alike.

We're looking for someone who loves bringing order to busy days, enjoys supporting people, and takes pride in making sure nothing falls through the cracks. Whether you're coordinating meetings, preparing polished documents, organizing events, welcoming visitors, or helping onboard new employees, you'll be an important part of the team that keeps our operations moving forward.

What You'll Be Doing

No two days look exactly the same, but your responsibilities will include:

Office Administration

Welcome visitors and create a positive first impression for employees, clients, and guests.
Answer phones and manage front desk responsibilities.
Coordinate incoming mail, courier deliveries, and general office correspondence.
Monitor shared inboxes and respond to inquiries.
Assist with meeting coordination, agendas, minutes, and action item tracking.
Support leadership with reports, presentations, and administrative projects.

Scheduling & Coordination

Coordinate calendars, meetings, travel, and appointments.
Help keep leadership organized by tracking deadlines and following up on outstanding action items.
Support internal communication and scheduling across departments.

Documents & Data Management

Maintain accurate records within company systems and databases.
Perform data entry and spreadsheet updates.
Prepare professional documents using company templates, including forms, policies, presentations, signage, and fillable PDFs.
Organize digital and physical filing systems.
Assist with communication lists and document preparation.

Office Operations & Administration

Manage office supply inventory and place orders as needed.
Coordinate employee apparel, business cards, branded materials, and promotional items.
Prepare onboarding packages and documentation for new employees.
Assist with maintaining Health & Safety documentation, training records, PPE inventory, and compliance tracking.
Help coordinate internal meetings, employee recognition initiatives, celebrations, and company events.
Maintain clean, organized, and welcoming shared office spaces, including kitchens, boardrooms, and common areas.
Support the day-to-day administrative needs of multiple departments as required.

Qualifications & Skills

Post-secondary education in Business Administration, Office Administration, or a related field, or equivalent experience is preferred
2+ years of experience in an administrative, office coordination, or project support role
Strong organizational skills with high attention to detail and accuracy
Proficiency in Microsoft Office (Outlook, Word, Excel); experience with document management systems is an asset
Ability to manage multiple priorities in a fast-paced, team-based environment
Clear and professional written and verbal communication skills
Experience in a construction, restoration, or project-based environment is an asset
