Full job description

Job Overview
We are seeking a highly organized and proactive office administrator with an accounting background to oversee daily operations and ensure the smooth functioning of our office environment. The ideal candidate will possess strong administrative skills, excellent communication abilities, and a solid understanding of office management practices.

Duties

Manage office operations and tasks typical of a small accounting firm, including client communication, and excellent customer service.
Oversee payroll processing and ensure timely payment to employees.
Maintain accurate financial records using QuickBooks, including budgeting and expense tracking.
Coordinate human resources functions such as recruitment, on-boarding, and employee relations.
Develop and implement administrative policies and procedures to improve office efficiency.
Handle clerical tasks such as filing, data entry, and maintaining organized documentation.
Manage office supplies inventory and order necessary materials to ensure uninterrupted operations.
Utilize basic phone system effectively to facilitate communication within the office and with external partners.
Assist in preparing reports and letters.

Qualifications

Proven experience in an office management or administrative role is preferred.
Proficiency in QuickBooks and other accounting software is a plus.
Strong phone etiquette with excellent verbal communication skills.
Familiarity with payroll systems and human resources practices is desirable.
Ability to manage budgets effectively while maintaining financial accuracy.
Exceptional organizational skills with keen attention to detail.
Ability to work independently as well as collaboratively within a team environment.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) or similar software applications.
