Executive Assistant to the CEO

As we continue to grow, we are seeking a highly organized, proactive, and professional Executive Assistant to provide direct support to our Founder & CEO. This is an exciting opportunity to work in a fast-paced manufacturing environment while contributing to strategic initiatives, business development, and daily executive operations.

Position Summary

The Executive Assistant is a trusted partner to the CEO, responsible for providing executive-level administrative support, coordinating business activities, managing communications, and assisting with strategic projects. This position requires exceptional organizational skills, professionalism, discretion, and the ability to manage multiple priorities in a dynamic environment.

Key Responsibilities and Executive Support

Manage the CEO's calendar, appointments, meetings, and travel arrangements.
Coordinate internal and external meetings, including agendas, minutes, and follow-up action items.
Screen, prioritize, and manage incoming emails and correspondence.
Prepare professional letters, reports, presentations, and business documents.
Maintain confidential executive records, files, and company documentation.
Organize executive schedules and ensure priorities are managed effectively.

Business & Administrative Support

Assist with customer communications, supplier coordination, and business correspondence.
Research prospective customers, strategic partners, and industry opportunities.
Prepare proposals, presentations, and supporting documentation.
Maintain CRM records and assist with follow-up on sales opportunities.
Coordinate customer visits, facility tours, and executive meetings.
Track multiple projects, deadlines, and action items across departments.
Coordinate activities between engineering, manufacturing, sales, purchasing, and administration.
Assist with planning company events, trade shows, customer demonstrations, and conferences.
Support special projects as assigned by the CEO.

Research & Technology

Conduct market research, competitor analysis, and industry research.
Utilize AI tools such as ChatGPT, Microsoft Copilot, or similar technologies to improve efficiency and prepare reports.
Research government funding opportunities, grants, and strategic partnerships.
Prepare executive summaries and briefing documents.

Marketing & Communications

Assist with company LinkedIn updates and website content.
Support preparation of marketing materials and presentations.
Coordinate promotional activities and corporate communications.
Maintain professional communications with customers, suppliers, and stakeholders.

Qualifications

Diploma or Bachelor's degree in Business Administration, Communications, Marketing, Management, or a related field.
Minimum 3–5 years of experience supporting senior executives or management.
Experience in executive administration, project coordination, office management, or business support.
Manufacturing, engineering, industrial, or technology industry experience is considered an asset.
