Job Title: Front Desk Receptionist
Reports to: Head of Administration/Owners

Position Summary:

Our office is looking for a second Front Desk Receptionist to be part of our warm and welcoming team. The Receptionist will be the first and last person that our patients will see at the office. Your smile and greetings for the patients will carry throughout the day by servicing them accordingly in your administrative duties.

Responsibilities:

- Communication and harmony with your other Front Desk co-worker

- Greeting in & out patients and announcing their presence

- Answering the phones, taking messages, voicemails, scanning, fax, emails, delegating incoming mail, taking photos of patients for their file

- Booking recurrent or new patients experiencing an emergency by following a template guideline, transferring any other new patients to the Head of Admin

- Incoming reports from other offices will need to be scanned in the patients file and given to the appropriate Dentist for revision

- Scheduling patients, taking payments, sending electronical billing to insurances, sending estimates of treatments on behalf of the patient, and following up on response, making recalls to keep the schedule flourished with patients, calling patients to remind them of their upcoming appointments

- Keeping a daily track of our online platform (answering chat questions, sending review invitations)

- Keeping track of your personal area and fulfill the required inventory needed to function with everyday (ex: pens, printing paper, printer ink, envelops, stamps, specialist’s referrals, doctor’s prescription pads, medical forms etc)

- The reception and waiting room area must be clear of hazard and maintaining a clean environment

- Storage will have to be updated on regular yearly basis. The retention of old files will need to be shredded accordingly. This task will be delegated by the Head of Admin and owners before taking any actions

Working Conditions:

Full-Time/ Permanent Monday to Thursday 7:45am-5:00pm / Friday (alternating) 7:45am-12:00pm / 3:00pm (each receptionist will be assigned a specific day to close TBD)

- 1-hour unpaid lunch

- 3 paid sick days per calendar year

- Private insurance after 3 months probation /office closes two weeks straight for summer vacation /vacations paid TBD

Qualifications and Competencies:

- Secondary Diploma

- Dental Reception Certificate and/or minimum of 1 year experience in medical field

- Tech savvy and comfortable in learning the working software’s

- Must be fluently bilingual in French and English

- Must be comfortable working in a fast-paced environment (Great management skills and prioritization, attentive to details and keeping notes)

- Must be punctual, taking initiative, autonomous as well working in a team, respectful and courteous

Notre cabinet recherche un(e) deuxième réceptionniste pour rejoindre notre équipe chaleureuse et accueillante. La réceptionniste sera la première et la dernière personne que nos patients verront au cabinet. Votre sourire et vos salutations aux patients se répercuteront tout au long de la journée, tandis que vous les servirez au mieux dans le cadre de vos tâches administratives.

Responsabilités :

- Communication et bonne entente avec votre collègue de la réception

- Accueil des patients à leur arrivée et à leur départ, et annonce de leur présence

- Répondre au téléphone, prendre des messages, gérer les messages vocaux, numériser, envoyer des fax, traiter les e-mails, trier le courrier entrant, prendre des photos des patients pour leur dossier

- Prise de rendez-vous pour les patients réguliers ou les nouveaux patients en situation d'urgence en suivant un modèle type, et transfert de tout autre nouveau patient au responsable administratif

- Les rapports reçus d'autres cabinets devront être numérisés et versés au dossier des patients, puis transmis au dentiste concerné pour révision

- Prise de rendez-vous, encaissement des paiements, envoi des factures électroniques aux assurances, envoi des devis de soins au nom du patient et suivi des réponses, relances pour maintenir un agenda bien rempli, appels aux patients pour leur rappeler leurs prochains rendez-vous

- Assurer le suivi quotidien de notre plateforme en ligne (répondre aux questions par chat, envoyer des invitations à laisser des avis)

- Gérer votre espace de travail et veiller à ce que le matériel nécessaire au fonctionnement quotidien soit disponible (par exemple : stylos, papier d'impression, cartouche d'imprimante, enveloppes, timbres, formulaires de consultation chez un spécialiste, carnets d'ordonnances, formulaires médicaux, etc.)

- Veiller à ce que la réception et la salle d'attente soient exemptes de tout danger et à maintenir un environnement propre

- Le classement devra être mis à jour chaque année. Les anciens dossiers devront être détruits conformément aux règles en vigueur. Cette tâche sera déléguée par le responsable administratif et les propriétaires avant toute action

Conditions de travail :

Temps plein / Du lundi au jeudi de 7 h 45 à 17 h 00 / Vendredi (en alternance) de 7 h 45 à 12 h 00 / 15 h 00 (chaque réceptionniste se verra attribuer un jour spécifique pour la fermeture, à déterminer)

- Pause déjeuner d'une heure non rémunérée

- Environnement de travail propre et calme, avec un poste de travail individuel, un casier et des fournitures de cuisine

- 3 jours de congé maladie payés par année civile

- Assurance privée après 3 mois de période d'essai / fermeture du cabinet pendant deux semaines consécutives pour les vacances d'été / congés payés à déterminer

- Offre de déjeuners-conférences, de formations en équipe au sein et en dehors du cabinet pour enrichir ses connaissances, ainsi que d'activités de cohésion d'équipe hors du cabinet tout au long de l'année

Qualifications et compétences :

- Diplôme d'études secondaires

- Certificat de réceptionniste dentaire et/ou au moins 1 an d'expérience dans le domaine médical

- Aisance avec les technologies et capacité à s'adapter aux logiciels utilisés

- Doit être parfaitement bilingue en français et en anglais

- Doit être à l'aise dans un environnement de travail dynamique (excellentes compétences en gestion et en hiérarchisation des priorités, souci du détail et prise de notes)

- Doit être ponctuel, faire preuve d'initiative, être autonome tout en sachant travailler en équipe, respectueux et courtois

Job Type: Full-time

Pay: $20.00-$30.00 per hour

Expected hours: 36 – 40 per week
