Full job description

POSITION: Office Administrator/Medical Receptionist

JOB TYPE: Full-Time

START DATE: immediately

INTRODUCTION:

We are established family physicians who have a busy practice in the town of Essex. We are looking for a second full-time office administrator/medical receptionist for our office. The position will involve 28 hours per week (Monday through Thursday from 8:30 am to 3:30 pm). Our office is fully computerized and uses Accuro for electronic medical records.

POSITION SUMMARY:

The receptionist will work with our existing full-time receptionist. The receptionists manage the reception area. Due to the volume of calls and patients seen in the office, the receptionists must ensure that they are always available to receive patients and incoming calls. The receptionists will provide all aspects of administrative support required for the efficient operation of the medical clinic. Responsibilities include greeting patients in person or on the telephone and providing clerical support to the clinic.

QUALIFICATIONS AND EXPERIENCE:

- Relevant experience in administrative and clerical work; previous experience as a medical receptionist preferred.
- Electronic Medical Record (EMR) experience; Accuro training is an asset but will be provided if needed.
- Post secondary education or equivalent experience.
- Good organizational skills and ability to multi-task.
- Ability to work in a fast-paced environment.
- Good written and oral communication skills are essential.
- Good customer service skills.
- Obtaining a valid vulnerable sector police clearance will be required.

AREAS OF RESPONSIBILITY:

- Reviewing phone messages, and triaging as necessary.
- Answering all incoming calls promptly, accurately, and professionally.
- Triaging and directing all calls to appropriate staff as needed.
- Ensuring all logged phone calls are addressed and tasks are completed by end of day.
- Greeting and assisting all incoming patients.
- Scheduling patient appointments, and making follow up appointments as necessary. Thorough knowledge of all working schedules of physicians.
- Sorting and distributing all incoming faxes, including scanning reports into the EMR.
- Monitoring supplies and requesting additional as needed.
- Providing all aspects of clerical support as requested by physicians. This may include, but is not limited to, making inquiries with other physician offices about patient information or appropriate service inquiries.
- Assisting with clerical work: copying, filing, faxing, mailing, paper work, maintaining up to date patient records.
- Handling all non-insured billings (cash)/receipts.
- Keeping front office areas clean (reception area, waiting room, patient rooms), as well as sterilizing instruments.
- Notifying management of any personal schedule changes to ensure there is proper coverage of the reception area at all times.
- Making sure all confidential patient information is properly disposed/shredded.
- Maintaining confidentiality of all patient information.
- Other duties as assigned.
