The Program Coordinator-Get Set & Institutional Services (Lindsay) is responsible for the day-to-day operations, coordination, and delivery of literacy and basic skills services. This role supports adult learners reach their independence, education and employment goals by providing individualized plans for success to achieve various literacy milestones. With the support of the Program Director, the Program Coordinator supports the Get Set team in the City of Kawartha Lakes and Haliburton County. The Program Coordinator ensures relevant data is properly tracked, stored and reported, while also supporting the planning and implementation of various Get SET programs and initiatives. The Program Coordinator represents the Get Set program and JHS Kawarthas at various committees and meetings ensuring the community and various partners are familiar with the Get SET program and JHS Kawarthas more broadly.
Working closely with the Program Director, the Program Coordinator ensures the effective operation of the Get SET program overseeing program creation and delivery and compliance with all contractual and regulatory requirements related to MLITSD funding. The role also plays a key part in strengthening community partnerships and contributing to broader organizational goals aimed at reducing barriers for marginalized individuals.
The ideal candidate is highly organized, adaptable, and able to manage competing priorities while maintaining professionalism and accuracy. Duties and Responsibilities
Daily Tasks/Expectations
- To Coordinate the Get SET Program- which includes Institutional Services, LEAP and OESP programming/supports- and its staff with support from the Director.
- Support community development through identifying service gaps and working with the Director in developing new programs.
- Participate and contribute to various community round tables and committees.
- Deliver presentations about the Get Set Program and other JHS services to community organizations and agencies.
- With the support of the Director, prepare and interpret reports for funders, ensuring they are completed with accuracy and in a timely manner.
- Gather data to inform program direction/development and identify service gaps.
- Oversee collaboration in program delivery with community partners
- Identify and assess the needs of learners, with a view to developing matched literacy supports.
- Provide services through relevant technology and other relevant outlets.
- Provide services in both individual and group settings.
- Provide services in various community settings including but not limited to, Probation offices, Shelters, Integrated Care Hub, 68 Lindsay St and Correctional Institutions.
- Enter all required information in data base system specified by funder.
- Refer individuals in need of other services internally within the John Howard Society and externally to community partners or other applicable supports.
- Ensure that services delivered are efficient and effective through an outcome evaluation model.
- Participate in agency/staff committees as directed.
- Assist the agency in maintaining accessible, relevant, responsive, and quality services.
- Purchase and track spending on programming equipment and client support as directed.
Administration Tasks
- Maintain accurate, timely, and confidential documentation for all aspects of service delivery, including funder reports, client intakes, progress notes related to milestones and file management.
- Work in the CAMS system, as required for the Get Set program.
- Complete statistical data entry and reporting requirements in alignment with organizational standards and funder expectations.
- Working with the program Director, prepare detailed documentation and reports required by funders and stakeholders, ensuring accuracy and compliance with contractual obligations.
- Respond to requests for information from various referral sources and other stakeholders, adhering to policies and procedures and confidentiality guidelines.
Best Practices and Accountability
- Stay informed of issues, information, & best practices re: literacy and basic skill, employment, educational upgrading, poverty, addiction and mental health issues, anti-oppressive practices, trauma/resilience informed practices.
- Ensure all records and files are current and privacy documentation is complete.
- Observe client confidentiality agreements.
- Engage in ongoing collaboration with teammates.
- Adhere to standard professional guidelines & agency protocols on confidentiality & ethics.
- Foster a warm, welcoming, restorative, anti-oppressive, trauma/resilience informed approach for individuals.
- Take a strength-based approach when addressing individual needs.
- When providing information, do so in a way that reflects the racial, cultural, linguistic and gender-specific needs of the person being served.
- Attend relevant staff meetings and training sessions.
- Follow all Health and Safety guidelines.
- Report any issues relating to safety and risk to the Program Director
- Consult regularly with the Program Director
- Undertake other duties as assigned by management to improve or enhance the delivery of services, and to meet operational needs.

Job Specifications
Education, Training, and Professional Experience
- University degree in an area such as education, social work, criminology, psychology, or related field.
- Must have 3-5 years work experience (minimum) working in programs that support adult learners, specifically in programs funded through Employment Ontario.
- Must understand the Get SET programming goals, service delivery models, and the importance of learner outcomes.
- Must have 1-2 years experience (minimum) working in CAMS
- Knowledge and working experience with community partners an asset
- Relevant training certificates an asset (i.e. Motivational Interviewing, Anti-Racism and Decolonization, Trauma-Informed Care, Positive Space, Brave Space, Restorative Conference Training)
- Experience utilizing crisis intervention techniques
- Experience working with at risk and vulnerable populations

Physical Abilities (where applicable)
- Ability to exert up to 30 lbs. of force occasionally and/or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects.
- Ability to engage in sitting, standing, and walking or a mix of all three for long periods of time.
- Ability to drive for short to medium periods of time to perform duties of the job, e.g. outreach into the surrounding community, attend community events, program supply shopping, and occasional travel to other JHSK office locations.

- Must have Valid Ontario Driver’s License (G-class) and reliable access to a car to preform duties of this job
