About Us

KGK Science is a contract research organization headquartered in London, Ontario, with more than 25 years of experience conducting clinical trials. We are now opening KGK Family Health Centre, a new medical clinic that will operate as a community-based primary care practice, distinct from our research operations. KGK Family Health Centre will employ physicians, nurse practitioners, and physician assistants, delivering patient care under Ontario's public health insurance system (OHIP). This is a rare opportunity to build and lead a primary care clinic from the ground up, backed by an established organization.

Position Summary

Reporting to the Director of Clinical Services, the Medical Clinic Manager is responsible for the day-to-day operations of KGK Family Health Centre. You will lead clinic launch activities, establish operational policies and procedures, manage administrative staff and provider schedules, oversee OHIP billing, and ensure the clinic operates in full compliance with Ontario healthcare regulations and standards. You will also serve as the operational bridge between the clinic and KGK's clinical research teams, supporting occasional cross-functional activities where the clinic and research operations intersect.

Key Responsibilities

Clinic Operations

Oversee daily clinic operations, including appointment scheduling, patient flow, facility management, medical and office supplies, and vendor relationships
Provide leadership and oversight for the day-to-day operations of the Family Health Team ensuring efficient, patient-centred service delivery.
Lead clinic start-up activities: develop standard operating procedures, workflows, and operational policies ahead of opening
Coordinate schedules and clinic coverage across physicians, nurse practitioners, and physician assistants in collaboration with clinical leadership
Manage the clinic's electronic medical record (EMR) system, including implementation, staff training, template development, and data integrity
Establish and monitor key performance indicators for patient access, appointment volumes, wait times, and service quality
Oversee facility operations, including maintenance, equipment procurement, inventory management, and vendor contracts.
Develop and monitor key performance indicators (KPIs) and prepare operational reports for senior leadership and the Board, as required.

Billing & Financial Management

Oversee OHIP billing operations, including claims submission, remittance advice reconciliation, error and rejection resolution, and monthly billing cycle management
Manage billing for uninsured services and third-party requests (e.g., insurance forms, medical notes) in accordance with applicable guidance on block fees and uninsured services
Develop and manage the clinic's operating budget; monitor revenue, expenses, payroll inputs, and identify operational efficiencies
Prepare regular financial and operational reports for senior leadership

People Leadership

Recruit, onboard, train, schedule, and supervise clinic administrative and support staff
Support the recruitment and credentialing/onboarding logistics for physicians, nurse practitioners, and physician assistants
Foster a collaborative, patient-centred culture; conduct performance reviews and support professional development
Lead, supervise, mentor, and evaluate administrative and clinical support staff while fostering a positive, collaborative workplace culture.
Oversee recruitment, onboarding, orientation, performance management, employee relations, and professional development for clinic staff.
Collaborate with physicians, nurse practitioners, allied health professionals, and leadership to support integrated, team-based care and operational excellence.

Compliance, Quality & Safety

Ensure compliance with applicable Ontario legislation and standards, including the Personal Health Information Protection Act (PHIPA), the Occupational Health and Safety Act, and applicable regulatory college policies and infection prevention and control (IPAC) standards
Maintain privacy, consent, and records-management practices for patient health information, including responding to access and correction requests
Develop and maintain emergency preparedness, incident reporting, vaccine/cold-chain management (if applicable), and health and safety programs
Develop and implement operational policies, procedures, and workflows to support quality, efficiency, and continuous improvement.
Ensure compliance with Ministry of Health requirements, accreditation standards, privacy legislation (PHIPA), occupational health and safety regulations, and other applicable legislation.
Support inspections, assessments, and quality improvement initiatives
Coordinate risk management activities, emergency preparedness planning, and business continuity initiatives.

Cross-Functional Coordination

Serve as the operational point of contact between KGK Family Health Centre and KGK Science's clinical research teams for activities where the two intersect, such as shared facility logistics or referral of interested patients to research opportunities, while maintaining appropriate separation between clinical care and research operations
Ensure any research-adjacent activity in the clinic respects patient privacy, informed consent, and applicable ethical requirements
Build and maintain effective relationships with community partners, hospitals, Ontario Health, and other external stakeholders to enhance collaboration and continuity of care.

Patient Experience

Champion a high standard of patient service, from booking through follow-up
Establish and manage patient feedback and complaint-resolution processes
Oversee patient registration, health card validation, and rostering/enrolment administration where applicable

Qualifications

Required

Bachelor's degree in health administration, business administration, nursing, or a related field, or an equivalent combination of education and experience
Minimum 5 years of progressive experience in healthcare operations or clinic management, including at least 2 years in a supervisory or management role, preferably in a primary care or family practice setting
Direct experience with OHIP billing, including claims submission, remittance reconciliation, and rejection management
Working knowledge of Ontario's healthcare regulatory environment, including PHIPA privacy requirements and workplace health and safety obligations
Hands-on experience with EMR systems used in Ontario primary care and with clinic scheduling and billing workflows
Demonstrated experience managing budgets, staff, and multi-priority operations
Strong communication, organizational, and problem-solving skills

Assets

Experience managing a multi-provider practice that includes physicians, nurse practitioners, and/or physician assistants
Experience with clinic start-up, relocation, or expansion projects
Familiarity with Ontario primary care models and patient enrolment/rostering administration
Background as a regulated health professional in good standing with their College
Certified Health Executive (CHE) designation or equivalent
Familiarity with clinical research environments is an asset but not required
