About Us

The Robarts Research Institute within the Schulich School of Medicine & Dentistry at Western University has a mission to accelerate medical discovery. Through a powerful integration of basic and clinical research, we drive major advances that impact on many of today's most devastating diseases.

Dr. Ting-Yim Lee’s research program focuses on the use of imaging to study physiological processes in diseases. His laboratory has pioneered a method of using x-ray dye and CT scanning to measure blood flow in various tissues including the brain, tumors, and the heart. The method has found applications in stroke for selecting patients for thrombolytic treatment, in cancer for monitoring anti-angiogenesis therapy, and in heart attack for identifying patients who would benefit from revascularization. The software implementing the method has been licensed to GE Healthcare and is distributed worldwide for use with their CT scanners.

Responsibilities

The Administrative Assistant coordinates the day-to-day administrative, financial, and human resources operations of a research laboratory, ensuring the effective and efficient support of the Principal Investigator’s research activities. The role acts as a key administrative resource supporting research activities, ensuring completeness, accuracy, and compliance of administrative, financial, and funding-related processes. The role provides guidance to faculty, staff, students, and external collaborators, administers processes in alignment with University and external policies, and supports the coordination of research funding applications, financial monitoring, and reporting. Working closely with the Principal Investigator, the role facilitates human resources processes, supports onboarding and training, monitors research funding and expenditures, and coordinates administrative activities that enable the successful delivery of research initiatives involving internal and external partners.

Qualifications

Education:

3 year Community College Diploma in Business Management/Administration or related discipline

Experience:

5 years of experience providing financial, human resources and administrative support to a senior leader in an academic research environment

Knowledge, Skills & Abilities:

Knowledge of financial and human resources principles and legislation
Familiarity with Western policies and guidelines related to finances, human resources and research and grant administration would be an asset
Knowledge of general office procedures and best practices in records maintenance
Knowledge of Western collective agreements and policies impacting staff and students would be an asset
Competency to maintain confidentiality and treat sensitive information with discretion
Ability to ensure expenditures and resources are within allotments, and to make appropriate modifications when required
Ability to collaborate and develop credible relationships with a wide variety of individuals
Ability to apply active listening to hear and understand the complete message being communicated
Verbal communication skills to deliver information professionally in difficult circumstances
Ability to understand, interpret, and effectively communicate University guidelines, policies and practices to key stakeholders
Communication skills to write clearly, and adapt communication style and content for intended audiences in a professional manner
Intermediate proficiency required in Microsoft Office Suite to prepare communications, financial reports, input departmental data into spreadsheets and databases
Familiar with applications used by Western preferred – PeopleSoft, Mustang Market, Adobe Suite
Ability to apply critical thinking to evaluate information and make appropriate decisions or recommendations
Client service skills with an ability to apply tact and diplomacy when dealing with sensitive issues and a range of personalities, motives and interests
Capacity to support and demonstrate openness to persons of diverse backgrounds and beliefs
Ability to follow formal business practices with high attention to detail
Strong mathematical and analytical skills to complete accurate calculations
A well-defined sense of diplomacy, including solid negotiation and conflict resolution skills
Ability to plan, prioritize and manage, multiple concurrent assignments and tasks efficiently
Adapts readily and effectively to changing priorities and demands
Ability to work independently and exercise a high degree of initiative, innovation and good judgment in decision-making
Ability to interact professionally with students, staff, faculty, and other members of the University community
