Position Summary
Reporting to the Customer Service Manager, the HVAC Service Coordinator/Customer Service Representative plays a key role in ensuring a positive customer experience. This role manages incoming service requests, schedules technicians, updates work orders and follows up with customers to support the efficient completion of service work from initial request to invoicing.
Key Responsibilities
- Receive and coordinate incoming service requests from customers, field staff, etc.
- Schedule and dispatch Service Technicians efficiently based on priorities, location, and workload
- Monitor, prioritize and organize daily workflow for Service Technicians to ensure completion of assigned jobs
- Schedule and coordinate all service calls as calls are received
- Dispatch Service Technicians as service calls are completed
- Create, maintain and file service tickets and work orders
- Respond to customer inquiries via phone and email
- Contact customers with a “Parts Pending” status as parts are received for scheduling
- Schedule return trips with customers when parts are in
- Debrief technicians following service calls and update records accordingly
- Maintain and update appropriate customer data, including key contacts, servicing information, address changes and other critical information
- Keep customers apprised as to Company schedule and requested lead-times
- Maintain the dispatch board / schedule
- Check and validate documentation
- Work with Service Technicians and inventory staff to finalize work orders for invoicing
- Process Service work orders and create invoices
- Maintain a high level of customer satisfaction through professional and courteous communication
- Build positive relationships with customers and internal team members
- Perform other administrative and customer service duties as required
Qualifications
- Post-secondary education in Business, Office Administration or a related field
- Previous experience in customer service, dispatching, scheduling, administration, or a related role is an asset but not required
- Strong customer service and communication skills
- Excellent organizational and time-management abilities
- Ability to prioritize multiple tasks in a fast-paced, deadline-driven environment
- Proficiency with Microsoft Office applications
- Positive attitude and willingness to learn
