PAYROLL & RECEPTIONIST:

Responsibilities consist of:
As a dual-role professional, you will ensure our office operates smoothly and our employees are paid accurately.
Payroll:
- Weekly Payroll Entry
- Calculate hours from physical time sheets, investigate missing information or hours, transferring into a digital spreadsheet and then data entry to 3rd party payroll (Payworks)
- Requires an understanding of payroll (ie gross vs net wages, tax deductions, calculating percentages and hourly rate based on hours worked etc)
- Follow company processes developed to ensure accuracy
- Allocation of hours to job sites accordingly. Understanding job site and construction (an asset) but not required.
- On and Off Boarding employees (New hire employee packages including safety course requirements)
Reception / Administration:
- Answering, screening and directing incoming calls with professionalism, greet clients and visitors warmly, and keep our office area inviting.
- General inquiries from potential new customers (Customer correspondence as directed including quotations etc.)
- Maintain organized digital/physical files, process mail and assist with project-related paperwork.
- Ordering, organizing and managing office supplies
- Assist with maintenance of Life Insurance policies, benefits and RRSP vendors.
- Assist with all Health and Safety both digital and physical administration (including SDS’s maintenance, annual course updates for all employees and monthly safety “tool talks”)
- Assist estimating department with admin duties (such as downloading and printing construction plans and preparing quotes)

· We are looking for a reliable and friendly Payroll clerk & Receptionist to be the welcoming face of our company and the backbone of our office administration.
· A confident, calm, polite and eager person who wants to contribute to a successful business and be surrounded by a supportive team at work.
· Strong proficiency in data entry and Excel training or work equivalent (Payroll requires a working knowledge and proven experience with excel). This is a must !
· Must be proficient with Microsoft Office 365, Outlook and Word
· Must understand and be able to create “Shared Calendars” for various important dates
· A working knowledge of SAGE 50 Quantum Accounting (accounting software) is a definite asset.
· A working knowledge of Payworks (payroll system) is an asset.
Qualifications include:
- Strong attention to detail, accuracy and timelines, with , will make you the candidate to beat.
- Ability to Multi-task and work in busy environment, while always maintaining quality and professionalism.
- Excellent organizational skills.
- Proficient in math
- Completion of a post-secondary degree/diploma in accounting or equivalent work experience.
- A minimum of 1-2 years of experience in payroll and administrative role.
- Experience and understanding of the construction industry is an asset.
