Full job description

Overview

We are seeking a dynamic and highly organized Office & Yard Coordinator to oversee daily operations both inside the office and in the outdoor yard area. This role is vital in ensuring smooth administrative functions, efficient communication, and effective management of yard activities. The ideal candidate will be proactive, detail-oriented, and possess excellent multitasking skills to support our team and maintain a well-organized workspace. This paid position offers an exciting opportunity to contribute to a fast-paced environment while developing your administrative and operational expertise.

Responsibilities

Manage front desk duties, including greeting visitors, answering multi-line phone systems, and providing exceptional customer service.
Maintain accurate records through data entry, filing, and document proofreading to support office operations.
Oversee yard activities, coordinate deliveries, and ensure safety protocols are followed in the outdoor area.
Utilize computer skills including Microsoft Office, Google Workspace, and QuickBooks for invoicing, scheduling, and record keeping.
Support bookkeeping tasks such as tracking expenses and processing invoices with attention to detail.
Assist with clerical tasks like organizing files, managing correspondence, and maintaining office supplies inventory.
Provide customer support by addressing inquiries professionally and ensuring a positive experience for visitors and clients.

Experience

Proven clerical experience with a strong background in office administration and customer service.
Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
Experience using QuickBooks or similar accounting software for bookkeeping purposes.
Prior experience working in a medical or dental office setting is a plus, especially with front desk responsibilities like phone etiquette and patient data management.
Strong organizational skills with the ability to handle multiple tasks efficiently while maintaining accuracy.
Excellent typing speed, proofreading abilities, and attention to detail are essential for success in this role.
Previous experience managing multi-line phone systems and performing data entry tasks confidently.
