Position Summary:
The Perioperative Wait Time Information System (WTIS) Coordinator is the point person responsible for assisting with information flow from the Perioperative Program to WTIS/Ontario Health-Cancer Care Ontario (OH-CCO).
Responsibilities:
- Validates accuracy of data going into the WTIS application, including contacting appropriate parties, as required to verify/ validate information, as required;
- Generates and evaluates daily reports from the WTIS application, inputs and troubleshoots any discrepancies, in a timely manner;
- Performs daily reconciliation of Operating Room (OR) cases, ensuring information is submitted to WTIS, within 48 hours;
- Investigates any discrepancy within JBH reported cases noted on the WTIS system by the surgeons’ offices;
- Maintains and updates procedure mapping to the WTIS application and Booking Care System (BCS) and Meditech system, e.g., new procedures, deleted procedures or changes in procedure descriptions;
- Identifies and ensures that JBH is meeting WTIS definitions of reporting; assesses and validates information for accuracy to ensure appropriate information is being sent to OH-CCO;
- Submit monthly Data quality and compliance reports to OH-CCO via Access to Care (ATC) site.
- Generate surgical wait time reports using OH-CCO IPORT access tool for Stakeholder meetings
- Develop and document User Acceptance Tests (UAT) and then conducts or coordinates the testing for the WTIS application and BCS and Meditech system
- Attends internal meetings as well as monthly conference calls with OH-CCO for WTIS, and others as required
- Analyze monthly OR data for errors to be adjusted by the perioperative nurses and/or clerks and surgeon’s offices
- Provides back up support for BCS for the perioperative program
- Trains the Surgeons’ Administrative Assistant, Secretaries, Booking Clerks and other relevant parties in the overall scheduling/booking and reporting process of the BCS system and WTIS application
- Works closely with the IT, Decision Support and the Perioperative Program
- Completes other duties and special projects as assigned
Qualifications:
- Bachelor degree in Health Informatics, Health Administration, Statistics, or a related field of study preferred
- Degree/certificate in Business administration, preferred
- Working knowledge of Surgical Wait Times
- Solid understanding of Perioperative processes as they relate to the generation, collection and maintenance of data
- Solid understanding of clinical software
- Basic understanding of relational database concepts
- Proven understanding of adult learning.
- Understanding of basic business concepts
- Sound understanding of information systems as they relate to Operating Room
- Advanced knowledge and skills in Microsoft Office, particularly Excel and Access
- Working knowledge of desktop applications such as word processing, spreadsheet, presentation and project management software
- Good Analytical and problem solving skills; detailed-oriented
- Demonstrated knowledge of hospital information systems
- Administrative and computer skills; Word, PowerPoint, Access, Advance Excel
- Ability to extract volume and trend reports in iPort Access and provide an overall analysis
- Demonstrated ability to promote and manage change
