Client Care Administrator (Part-Time) | UROSPOT Mississauga

We are actively hiring and interviewing this week for a Client Care Administrator to join our Mississauga clinic.

This is a high-impact, client-facing role within a growing private medical practice focused on delivering exceptional client experience and guiding prospective clients into booking their consultation.

UROSPOT is a private women’s health clinic with locations in Oakville and Mississauga specializing in innovative pelvic health treatments. We provide a refined, supportive, and discreet clinical environment designed to help women restore confidence and improve quality of life.

We are hiring a polished and emotionally intelligent Client Care Administrator (also known as a Patient Care Coordinator or Clinic Administrator) to support front desk operations and confidently guide prospective clients into booking their complimentary consultation.

This is not a traditional receptionist role. It is a high-touch client experience and consult booking position within a private medical clinic setting.

Luxury Client Experience & Front Desk Administration

Welcome and check in clients warmly and professionally
Offer refreshments and attend to comfort details
Maintain a polished and organized reception area
Manage incoming calls and patient inquiries
Schedule appointments using Jane App or similar EMR software
Support payment processing and maintain accurate documentation
Ensure seamless clinic flow between consultations and treatments

Consult Booking & Lead Conversion

Respond to new inquiries within 24 hours
Follow up with prospective clients who have not yet booked
Guide clients into scheduling their complimentary consultation
Confidently explain treatment process and pricing ranges
Track lead communication and booking outcomes
Support monthly consult booking goals

Required Experience

Minimum 2 years experience in a private clinic, dental office, medical office, physiotherapy clinic, chiropractic clinic, or medical aesthetics practice
Experience with appointment scheduling and patient communication
Comfortable discussing services and pricing with clients
Strong customer service and communication skills
Experience with Jane App, EMR, or practice management software preferred
Hospital-only administrative backgrounds without consult booking experience may not be the right fit for this role
