Full job description

Our client is a well-established manufacturing company seeking a professional, organized, and customer-focused Office Administrator to serve as the first point of contact for employees, visitors, clients, and vendors. This role is responsible for managing the front reception area while providing administrative support to the Human Resources and Payroll teams. The ideal candidate has experience in HR administration, payroll support, employee engagement initiatives, and general office administration within a fast-paced manufacturing environment.

KEY RESPONSIBILITIES

Greet visitors, answer and direct incoming calls, and manage general correspondence.
Schedule meetings, coordinate calendars, and manage boardroom bookings.
Process incoming and outgoing mail and courier shipments.
Provide administrative support to various departments and assist with cross-functional projects and initiatives as required.
Maintain and update company records, employee lists, directories, schedules, seniority lists, and administrative reports.
Scan, organize, and file work orders and company documentation.
Maintain office supplies, stationery, kitchen supplies, and workplace inventory.
Maintain the NOVAtime system, including work order assignments and employee timekeeping support.
Issue and manage employee timecards, key fobs, alarm codes, and building access.
Maintain employee access records and support office security procedures.
Coordinate confidential document shredding services and company vehicle compliance (CVOR, licensing, inspections, and maintenance).
Coordinate fire drills, maintain emergency documentation, and support workplace health and safety initiatives.
Coordinate company events, employee appreciation initiatives, birthday celebrations, and holiday functions.
Maintain operational dashboards and administrative reports.
Identify opportunities to improve office processes and administrative efficiency.
Perform other duties as assigned.

OUR OFFER

Full-time permanent role
Salary range: $55,000 - $65,000K
Paid weekly, every Thursday, by direct deposit

OUR REQUIREMENTS

Diploma or certificate in Human Resources, Business Administration, Payroll, or a related field preferred.
Minimum 5 years of experience in reception, HR administration, payroll support, or a similar administrative role in a manufacturing enviorment.
Experience in a manufacturing environment is considered an asset.
Knowledge of HR processes and payroll practices.
Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
Experience with Novatima and payroll systems is considered an asset.
Strong organizational skills with the ability to manage multiple priorities.
Excellent verbal and written communication skills.
Professional, approachable, and customer-service oriented.
Ability to maintain confidentiality and exercise discretion with sensitive information
