Senior Property Management & Leasing Coordinator

Location: Mississauga, ON (Hybrid)Employment Type: Full-TimeSalary + Performance Bonus

As we grow, we’re looking for an experienced operations professional who can become the backbone of our day-to-day property management operations.

About the Role

This is a senior operations role for someone who thrives in a fast-paced environment, enjoys solving problems, and takes ownership.

You will oversee the operational journey of each property—from listing and tenant placement through ongoing property management—while ensuring landlords, tenants, field associates, and vendors receive exceptional service.

This role has a clear pathway to becoming an Operations Manager as the company grows.

Key Responsibilities

Leasing Operations

Coordinate rental listings across multiple marketing platforms.
Manage prospective tenant inquiries and qualification.
Schedule and coordinate property showings.
Process rental applications and coordinate tenant screening.
Prepare leases and supporting documentation.
Coordinate move-ins, key exchanges, and onboarding.

Property Management

Coordinate maintenance requests from start to finish.
Dispatch and manage contractors and vendors.
Obtain repair estimates and monitor completion.
Coordinate routine inspections.
Support rent collection and arrears follow-up.
Maintain accurate property records and documentation.

LTB & RTA Coordination

Strong understanding of Ontario’s Residential Tenancies Act (RTA).
Experience coordinating Landlord and Tenant Board (LTB) processes.
Prepare and organize notices such as N4, N5, N7, N11, N12, and related documentation.
Track filing deadlines and maintain case documentation.
Coordinate with paralegals and landlords throughout the LTB process.
Ensure operational compliance with Ontario rental housing legislation.
Identify potential tenancy risks early and escalate appropriately.

Operations & Process Improvement

Manage Buildium, Zoho CRM, and operational workflows.
Maintain service standards and response time SLAs.
Develop and improve standard operating procedures.
Track operational KPIs and reporting.
Continuously identify opportunities to improve efficiency and customer experience.

Qualifications

Required

3–7 years of Ontario residential property management experience.
Experience coordinating both leasing and property management operations.
Working knowledge of Ontario Residential Tenancies Act.
Experience supporting or coordinating LTB matters.
Excellent organizational and multitasking abilities.
Strong written and verbal communication skills.
High attention to detail.
Ability to work independently with minimal supervision.
Customer-focused with a calm, professional approach.

Preferred

Experience using:

Buildium
Zoho CRM
Microsoft 365
Google Workspace
Electronic document management systems

Experience working with residential investment properties is highly desirable.

Within your first six months, you will:

Independently manage the operational workflow for a growing property portfolio.
Ensure timely communication with landlords, tenants, contractors, and field associates.
Coordinate leasing, maintenance, and compliance activities with minimal oversight.
Help maintain exceptional service standards as Vasera scales.
Contribute to building systems that enable long-term growth.
