SCOPE
Reporting to the Manager, Co-op Student Experience, the incumbent is responsible for building and maintaining effective relationships between the faculty, students and the professional working community as a means to enhance a climate for successful co-operative education and work-integrated learning. The incumbent coordinates caseload logistics, maintains documentation, supports reflective learning admin, and monitors students’ progress, as per established protocols.
PRIMARY RESPONSIBILITIES
• Responsible for a portfolio of students, confirms adequate work terms available for students, ensures students secure their work term placements/internships, and oversees and monitors co-op student progress.
• Act as primary co-op student point of contact, providing timely, student-centered support throughout the co-op student journey, tracking student progress, arranging warm referrals as needed and maintaining student case ownership in reported issues.
• Promote student success and retention by monitoring milestones and risk signals, sending targeted reminders, coordinating resource referrals, and arranging follow-ups ensuring students stay on track with co-op requirements.
• Coordinate search term and pre-placement requirements with the Career Services team, including workshops, information sessions, documentation clinics, and clear communication to students.
• Attends outreach activities, networking and industry events.
• Actively engaged in recruiting students by giving presentations in classes, at open house, and at external events.
• Collaborate with Operations team to resolve process or systems issues that affect student progress and to streamline workflows.
• Review student reflections and submitted work post-work term and provide summaries of trends or standout submissions to manager; flag exceptional students and struggling students.
• Monitor student progress during work terms through check-ins, scheduling site visits in partnership with Employer Relations team, as needed, resolve conflicts with students and employers, routing concerns to the manager as per protocol; document outcomes and next steps; liaise with Faculty Academic Directors when necessary for student support.
• Perform other tasks in support of the unit.
QUALIFICATIONS
• Bachelor’s degree in business administration, commerce, communications, human resources, marketing, public relations or social sciences with two to four years of experience in customer relationship management.
• Experience working with students.
• Strong business and strategic acumen and knowledge of strategic communications and marketing concepts, principles, methodology and techniques.
• Good knowledge (Intermediate level) of Word, Excel.
• Strong interpersonal skills, including conflict resolution and active listening.
• Strong organizational skills.
• Ability to work under pressure to meet deadlines and to prioritize work.
• Good team player with the ability to set priorities and to multitask.
• Good knowledge (Level 4) of spoken and written English and French. Experience communicating in professional business community setting.
• Ability to work and communicate effectively orally and in writing, with tact and diplomacy, with a variety of internal and external contacts.
• Competent in program planning and delivery.
• Presentation skills; effective in a wide variety of formal presentation settings.
• Ability to effectively work with a wide range of individuals and constituencies in a diverse community.
• Knowledge of university environment, culture, processes, academic regulations, etc. is an asset.
• Experience in recruitment, and/or with co-operative education and/or work integrated learning is an asset.
