Who we are: The Nanaimo & District Hospital Foundation was founded in 1977 and has become the largest hospital foundation on Central Vancouver Island, raising close to $10 million in our current fiscal year. “It’s in Our Nature to Give” became our tagline in our current strategic plan and has encouraged a philanthropic surge across our community to achieve our mission of improving healthcare. We focused our fundraising on thematic giving on key areas in our hospital, cancer, critical care, heart and stroke, mental health, community and family health and innovation to provide a variety of giving opportunities for our donors. With the generosity of our donors, we facilitate the funding of cutting-edge medical equipment, impactful capital projects, community health initiatives, healthcare education programs and patient comfort items.

The role: We’re looking for a Gift & Data Coordinator to join our team and play a key role in connecting donor information, technology, and fundraising strategy. This is a great opportunity for someone who loves working with data, solving problems, improving processes, and seeing the real-world impact of their work. This role requires someone with an eagle eye for accuracy, who takes pride in getting the details right. This position will be working with donor and financial information where precision matters, while also keeping pace in a fast moving environment with competing priorities, tight deadlines and a variety of fundraising initiatives.
In this role, you’ll be at the centre of our fundraising operations, making sure gifts are processed accurately, donor information is meaningful and secure, and our fundraising team has the insights and tools they need to build strong donor relationships and achieve ambitious goals. This role is for a full time in office permanent position.
What you’ll do:
You’ll manage the processing of a wide variety of gifts, from individual donations and events to sponsorships, lottery proceeds and gifts-in-kind. Ensuring every gift is accurately recorded, acknowledged, receipted, and directed to the right fund.
- Turn Data Into Fundraising Insights
You’ll transform donor and fundraising data into useful information that helps our team make smarter decisions. You’ll create reports, analytical dashboards, campaign insights, and fundraising metrics that help our frontline fundraisers understand what’s working and where opportunities exist.
- Help Our Fundraisers Build Relationships
You’ll create targeted and meaningful donor lists for direct mail, newsletters, email campaigns, donor recognition, and other fundraising initiatives. Using Raisers Edge and other tools, you’ll help ensure the right donors are connected with the right opportunities.
- Be Our Database & Systems Expert
You’ll play a key role in maintaining the accuracy and integrity of our Raisers Edge database, including regular data cleansing, managing donor information, and overseeing the Prospect Insights module. You’ll become a go-to resource for our team when it comes to donor data and fundraising systems.
We’re always looking for better ways to work. You’ll have the opportunity to identify inefficiencies, improve data processes, support automation, and help integrate information between different technology platforms. If you see a better way of doing something, we want you to help us build it.
- Support Fundraising Strategy
You’ll contribute data and insights to our Development Plan, Fundraising Plan, Annual Report, campaigns, appeals, and fundraiser goals, helping turn our fundraising strategy into measurable results.
- Support Great Donor Experiences
From creating donation and event forms to ensuring timely thank-you letters and tax receipts, you’ll help make sure every donor interaction is accurate, professional, and reflects how much we value our donors.
Qualifications and requirements:
Ø 2–3 years of experience working with databases, data management, fundraising operations, or a related administrative/analytical role.
Ø Experience working with Raiser's Edge or another CRM/database system is an asset.
Ø Strong data management and analytical skills, with a keen eye for accuracy and detail.
Ø Strong organizational skills and the ability to manage multiple priorities, deadlines, and projects in a fast-paced environment.
Ø Post-secondary education in business, data analytics, information systems, fundraising, accounting, finance, or a related field is an asset, or an equivalent combination of education and experience.
