Full job description

Clad-Tech is seeking a reliable, detail-oriented Service Coordinator to support our repair and maintenance division on a part-time schedule. This role is the main administrative hub for incoming service requests-booking work, coordinating crews and materials, tracking job progress, and ensuring clients receive clear updates from request to completion. It's ideal for someone who thrives on organization, communication, and keeping multiple small jobs moving smoothly.

Key Responsibilities

Receive and triage service requests (phone/email), collect details, photos, and site information.
Schedule technicians, coordinate site access, and confirm appointment times with clients/GCs.
Create and maintain service work orders, job folders, and basic documentation (notes, photos, closeout).
Coordinate materials, rentals, and deliveries for service calls; confirm lead times and availability.
Track daily progress and follow up on outstanding items, deficiencies, and return visits.
Support invoicing readiness by ensuring job details are complete (labour, materials, PO numbers, sign-offs).
Maintain organized records for safety/insurance requirements when needed (site requirements, orientations).
Communicate professionally with clients, suppliers, and internal teams to resolve issues quickly.

Qualifications

1-3 years experience in office coordination, dispatch, service administration, or construction admin (preferred).
Strong organization skills with excellent attention to detail and follow-through.
Comfortable managing schedules and communicating with both customers and field staff.
Proficient with Microsoft Office (Outlook, Excel); experience with job management software is an asset.
Bilingual (English/French) is an asset.

Service calls are scheduled quickly, crews arrive prepared, and clients receive clear updates.
Work orders are accurate, files are organized, and completed jobs are ready for billing without delays.
