About Gateway Labrador
Gateway Labrador is a non-profit organization dedicated to promoting tourism, heritage, and community in Labrador West. As we continue to grow, we’re focused on strengthening our internal capacity to better support our programs, partnerships, and community initiatives.
Historically, Gateway Labrador has operated with a single staff position, the Tourism Development Officer, who manages the building, operates the museum, and leads heritage and tourism projects. As our scope expands, we’re introducing this new role to enhance our administrative, operational, and organizational capacity.
Position Overview
The Office Adminstrator will play a key role in supporting Gateway Labrador’s internal operations. This position will provide day-to-day administrative assistance, help coordinate community events (including the Fall Heritage Festival), support basic financial tracking, and assist with developing internal systems, policies, and procedures.
This is an excellent opportunity for someone who is organized, detail-oriented, and community-minded, with solid experience in office administration and an interest in contributing to a growing nonprofit organization.
Key Responsibilities
Administrative Support
● Coordinate daily office operations and general administrative tasks
● Maintain organized filing systems (digital and physical)
● Prepare reports, meeting agendas, and documentation
● Support budget tracking, invoicing, and basic financial reporting
● Manage calendars, scheduling, and internal communications
● Liaise with suppliers, vendors, and service providers
Event Coordination
● Assist in planning and logistics for the Fall Heritage Festival and other community events
● Coordinate venue bookings, registrations, and exhibitor communications
● Manage event timelines, checklists, and deliverables
● Support event promotion (social media posts, signage, and community notices)
● Assist with onsite setup and teardown
● Collect feedback and contribute to post-event reporting
Human Resources & Policy Support
● Assist with developing and updating HR policies and procedures
● Help draft employee handbooks, onboarding materials, and workplace guidelines
● Support documentation related to health & safety and code of conduct policies
● Maintain confidential HR and organizational files
● Assist in organizing staff training or professional development sessions
Organizational Development
● Identify opportunities to improve internal systems and workflows
● Help create templates, forms, and tracking tools to support efficiency
● Standardize procedures and document organizational knowledge
● Contribute to grant and funding reporting where administrative tracking is needed
Communications & Outreach
● Respond to public or partner inquiries by email, phone, or in person
● Prepare internal memos, newsletters, or stakeholder updates
● Assist with external communications such as community notices and invitations
Qualifications & Skills
● Required: Demonstrated experience in office administration
● Assets: Experience in HR support, bookkeeping, or working within a non-profit organization
● Post-secondary education or training in business administration, office management, or a related field
● Strong organizational and time management skills
● Excellent written and verbal communication skills
● Proficiency with standard office software (Microsoft Office, Google Workspace, etc.)
● Attention to detail and ability to manage multiple priorities
● Ability to work independently with minimal supervision while managing multiple tasks effectively
● Collaborative and adaptable, with an interest in community development
Supervision & Support
The Office Adminstrator will report to the Tourism Development Officer, who will provide daily supervision, mentorship, and feedback. Additional guidance will be provided by the Board of Directors.
