Full job description

Job Summary
We are seeking a detail-oriented and professional Legal Legal Assistant/Receptionist to join our dynamic legal team. The ideal candidate will serve as the first point of contact for clients and visitors, providing exceptional client service while managing various administrative tasks. This role requires strong interpersonal skills, along with excellent organizational skills to support the smooth operation of our office.

Duties

Greet clients and visitors warmly, ensuring a positive first impression of the firm.
Manage incoming calls with professionalism, demonstrating excellent phone etiquette.
Schedule appointments and maintain team calendar.
Handle clerical tasks such as opening new files, filing, scanning, and organizing transactions for both digital and paper files.
Handling incoming faxes, emails and mails;
Perform data entry tasks accurately, ensuring all client information is up-to-date in our systems.
Assist with legal document drafting and proofreading documents to ensure accuracy and compliance with legal standards.
Conduct searches and payout requests as needed to support open transactions through various third-party websites or systems.
Coordinate meetings and prepare necessary documentation for client meetings.
Completing undertakings.

Requirements

Fluent in Cantonese is required.
Proven experience in an administrative role, preferably within a legal environment.
Strong skills with the ability to gather relevant information efficiently.
Proficient in data entry with a keen eye for detail to minimize errors.
Familiarity with legal terminology and procedures is highly desirable.
Excellent proofreading skills to ensure high-quality documentation.
Ability to manage multiple tasks simultaneously while maintaining a high level of organization.
Strong interpersonal skills with a focus on customer service excellence.
Experience using Microsoft Office and Adobe or similar document management systems is preferred.
Demonstrated skills to effectively coordinate various tasks.
