Full job description

Canadian Locators Inc. is an established utility locating company that has been in the damage prevention industry for over 22 years. Our organization works closely with utility clients in Alberta, British Columbia, and Ontario through services such as Utility Safety Partners (Previously called “One Call”). Currently, our group of companies provides a comprehensive suite of pre-engineering services including locates, mapping, surveying, geophysical services, fiber optic splicing, and proprietary technology solutions.

Canadian Locators Inc. is currently seeking a bright, enthusiastic, and reliable candidate to join our team as an Administrative Assistant. This entry-level position requires high energy, attention to detail, a strong work ethic, exceptional telephone manners, solid computer skills, and a strong sense of personal accountability and responsibility.

This role’s objective is to support the dispatch and monitoring of field staff to ensure satisfactory levels of production. Rescheduling the tickets . Work closely with field staff utility locators and Field Operations Managers (FOMs) and provide administrative support to meet contract requirements. Apply existing policies in conjunction with critical thinking skills and professional judgment to perform staff audits and realize cost efficiencies.

Administrative Assistant

Position Summary:

The Administrative Assistant coordinates communication between clients and field personnel, ensuring timely and accurate deployment to routine and emergency job sites. The role involves receiving and assessing requests, relaying clear information to field teams, and maintaining communication logs in accordance with company procedures. The Administrative Assistant also responds to inquiries and escalates issues to the Field Operations Manager when required.

Duties and Responsibilities:

Arrange and co-ordinate seminars, conferences, etc.
Establish and implement policies and procedures
Record and prepare minutes of meetings, seminars and conferences
Determine and establish office procedures and routines
Schedule and confirm appointments
Answer telephone and relay telephone calls and messages
Answer electronic enquiries
Compile data, statistics and other information
Oversee the preparation of reports
Order office supplies and maintain inventory
Greet people and direct them to contacts or service areas
Type and proofread correspondence, forms and other documents
Provide customer service
Maintain and manage digital database
Consult with clients after sale to provide ongoing support
Organize and manage digital and physical documents related to utility locating jobs, contracts,
Generate reports on Project Progress, and other relevant metrics as requested by management.
Use software tools and spreadsheets to compile and present data.

Supervise office and volunteer staff

Required Skills/Abilities:

Strong organizational and multitasking skills
Excellent interpersonal skills with the ability to work collaboratively in a team environment

Proficient computer skills
Basic geographical knowledge of the service area or map-reading ability
Willingness to assist and support team members as needed
Demonstrates professionalism, ethics, and integrity in all job responsibilities

Required Qualifications:

Post-Secondary Education: College Diploma or higher in business administration, office management, or a related field
Familiarity with database management and CRM systems
Prior experience in an administrative or clerical role, preferably in a corporate setting
Advanced skills in Microsoft Office Suite and other relevant software applications
Knowledge of utility locating, or related industries is a plus but not mandatory.
Prior dispatch experience would be considered an asset.
