Real Estate Brokerage Deal Administrator & Bookkeeper

About Us

Leaf & Palm Realty Corp. is a full-service Luxury real estate brokerage with offices in Ontario Canada and Florida USA with an active residential portfolio and a growing network of agents and property management operations. We're looking for a detail-oriented professional to manage deal administration and day-to-day bookkeeping for transactions and associated companies.

Position Overview

We are seeking a Deal Administrator and Bookkeeper to manage the full lifecycle of real estate transaction paperwork and maintain accurate financial records for the brokerage. This role is ideal for someone who thrives on structure, deadlines, and precision, and who is comfortable working closely with agents, lawyers, and the broker of record.

Key Responsibilities

Deal Administration

Review, process, and track all Agreements of Purchase and Sale (APS), listing agreements, and commission agreements for compliance with RECO/TRESA requirements
Prepare and maintain complete transaction files (conditions, waivers, amendments, disclosures, FINTRAC forms)
Coordinate with agents, lawyers, and lenders to ensure timely closing of deals
Track commission calculations, splits, and payouts to agents
Maintain the brokerage's trust ledger and ensure deposits are handled per RECO trust account rules
Monitor deal pipeline and flag missing documents or upcoming deadlines

Bookkeeping

Manage day-to-day bookkeeping using QuickBooks (or equivalent), including accounts payable/receivable
Reconcile brokerage operating and trust bank accounts monthly
Process agent commission statements and remittances
Prepare monthly financial summaries and reports for the broker of record
Assist with HST filings and year-end reporting in coordination with the external accountant
Maintain organized digital and physical records in line with RECO retention requirements

Qualifications

Prior experience in a real estate brokerage, law firm, or property management back-office role strongly preferred
Familiarity with RECO/TRESA compliance requirements and standard OREA forms is a strong asset
Bookkeeping experience with QuickBooks or similar accounting software
Strong Excel skills; comfort with brokerage/CRM software (e.g., Lone Wolf , BrokerBay, and Canva ) an asset
Exceptional attention to detail and ability to manage multiple deals/deadlines simultaneously
Prepare marketing packages and proformas
Strong written and verbal communication skills
Ontario real estate license not required, but an asset
