Full job description

We are seeking a highly organized and detail-oriented Executive administrator & Bookkeeper to support the day-to-day administrative and financial operations of the organization.

Position Summary

The Executive administrator & Bookkeeper plays a key role in supporting the Executive Director, Director of Finance and Board of Directors. This position combines office administrative support with bookkeeping and financial administration responsibilities.

Key Responsibilities

Bookkeeping & Financial Administration

Process accounts payable and accounts receivable transactions.
Prepare bank deposits and reconcile bank and investment accounts.
Assist in accounts receivable collection
Maintain accurate financial records using accounting software.
Assist employee expense reimbursements.
Prepare monthly financial reports and supporting schedules.
Support annual audit preparation and year-end processes.
Assist with budgeting and financial forecasting activities.
Maintain confidentiality of financial and organizational information.

Executive Administration

Act as the primary point of contact for office inquiries.
Coordinate office supplies, equipment, and vendor relationships.
Provide administrative support to the Executive Director and leadership team.
Coordinate meetings, schedules and organizational calendars.
Record and distribute Board and committee meeting minutes.
Assist with event planning, AGM preparation, and organizational communications.
Maintain organizational records and filing systems.
Support policy development, document management, and governance activities.

Qualifications

Required

Diploma or certificate in Accounting, Business Administration, Office Administration, or a related field.
Minimum 3 years of experience in bookkeeping, accounting, or administrative support.
Experience using accounting software (QuickBooks, Sage, or equivalent).
Proficiency with Microsoft Office 365, particularly Excel, Word, and Outlook.
Strong organizational and time-management skills.
Excellent written and verbal communication skills.

Preferred

Experience working in the non-profit sector.
Knowledge of Canadian non-profit accounting principles and funding agreements.
Experience supporting Boards of Directors and governance activities.
