Full job description

Reform Clinics is a modern multidisciplinary rehabilitation clinic located in Oakville, providing chiropractic, physiotherapy, massage therapy, acupuncture, and rehabilitation services. Our focus is simple: exceptional patient care delivered in a welcoming, professional environment.

We are looking for a dependable and personable Medical Receptionist / Clinic Administrator who enjoys helping others, is highly organized, and thrives in a busy healthcare setting. This is an excellent opportunity for someone who wants to be part of a supportive team and make a meaningful impact on our patients' experience.

What You'll Be Doing:

As the first point of contact for our patients, you'll play an important role in ensuring the clinic runs smoothly each day. Your responsibilities will include:

Greeting patients and creating a positive first impression
Coordinating appointments and managing practitioner schedules
Answering telephone calls, emails, and general patient inquiries
Registering new patients and maintaining accurate electronic records
Processing payments and balancing daily transactions
Submitting and tracking insurance claims through TELUS eClaims
Assisting with appointment confirmations, recalls, and follow-up scheduling
Supporting practitioners with administrative tasks as needed
Maintaining a clean, organized, and welcoming reception area
Contributing to the efficient day-to-day operation of the clinic

What We're Looking For:

The ideal candidate is organized, reliable, and genuinely enjoys working with people.

Qualifications include:

Previous experience in a medical, physiotherapy, chiropractic, massage therapy, or allied healthcare clinic is preferred
Experience using Jane App is considered a strong asset
Familiarity with TELUS eClaims and extended health insurance billing is an asset
Excellent communication and customer service skills
Strong organizational abilities and attention to detail
Ability to prioritize tasks and multitask in a fast-paced environment
Comfortable using Microsoft Office and other computer-based systems
Professional, positive, and team-oriented attitude
