Position Summary:
The HIM Compliance Analyst supports the appropriate handling and sharing of patient health information using approved systems and tools, such as Care Everywhere, MyDovetale, and EpicCare Link. Serving as a subject matter expert, the role provides training, performs audits, and monitors compliance while supporting quality assurance, process improvement, and issue resolution activities.
Responsibilities:
- Develops, maintains, and monitors data related to HIM access, disclosure, and records management activities to support compliance and operational oversight.
- Conducts routine and ad hoc audits of primary and secondary electronic medical record systems to ensure appropriate system use and adherence to organizational policies, standards, and legislative requirements supporting the legal medical record.
- Performs ongoing monitoring to ensure best practices for compliant access, disclosure, and documentation are consistently applied and sustained.
- Collaborates with Health Records, Digital Solutions/IT, Risk, Patient Relations, Privacy, and clinical teams to support compliant electronic documentation practices and escalates emerging issues to HIM leadership.
- Provides operational support for day to day access, disclosure, data protection, and records management requirements within HIM.
- Liaises with physicians, clinics, and operational stakeholders to communicate audit findings, address deficiencies, and support remediation plans to achieve compliance.
- Identifies operational needs and develops workflows, guidelines, tip sheets, and process documentation to support compliant and effective ROI, disclosure, and electronic access pathways (e.g., MyDovetale, Care Everywhere, etc.).
- In collaboration with the Manager, Health Information Services, develops and delivers training for HIM staff related to access, disclosure, system functionality, corrections processes, and related workflows.
- Prepares productivity, efficiency, and compliance reports, and communicates system and operational requirements to HIM leadership, to support continuous improvement.
- Identifies system issues, submits and tracks tickets related to HIM access and disclosure workflows, and reviews system upgrades to ensure documentation and processes remain current.
- During the rollout of new applications and system functionality, provides input on workflow design and compliance readiness.
- Reviews system upgrades as notified by Digital Solutions and revises documentation as required to correspond to new/revised system functionality.
- Provides consultation, in services, and subject matter expertise across the organization to support compliant access to and disclosure of patient health information using tools, such as Care Everywhere, MyDovetale, and EpicCare Link.
- Assists with the development, review, and revision of departmental and organizational policies and procedures related to health information access and management, providing recommendations to leadership as required.
- Maintains current knowledge of applicable standards, trends, and best practices related to health information management, and participates in ongoing professional development.
- Acts as a subject matter expert on projects as assigned and collaborates with internal departments and external health information access networks and committees.
- Cross training with other HIM analysts and the ability to support alternate responsibilities during periods of coverage, workload fluctuation, or increased service demand is an expected requirement of the role.
Qualifications:
- Bachelor’s degree or college diploma in a relevant field required, e.g. Health Information or Health related field.
- Minimum of three to five years hospital HIM or health information access/ release of information required.
- Epic credentialed training along with Medical Terminology and/ or Medical Office course completion.
- CHIMA/HIM certification in progress or completed preferred.
- Must be knowledgeable in PHIPA, FIPPA and related legislation.
- Understanding of hospital culture and health information/records management.
- Demonstrated effective oral and written communication skills.
- Discretion and maturity in handling confidential/sensitive matters.
- Excellent interpersonal skills with demonstrated ability to communicate effectively, courteously and tactfully.
- Proven organizational skills with ability to organize and prioritize high volumes of time sensitive and confidential work and meet deadlines are essential.
- Proficient in Windows based applications and office software including: Word, Excel, Microsoft Outlook, and Internet Explorer.
- Familiarity with privacy and audit-related terms and tools.
