About the Role:
Signal Security of the Okanagan is seeking a motivated and detail-oriented Human Resources Coordinator to support the day-to-day human resources and administrative functions of a growing security operations team.
This entry-level HR position is ideal for an individual looking to begin or grow their career in Human Resources while working in a fast-paced operational environment. The Human Resources Coordinator will assist with recruitment, onboarding, employee relations, scheduling support, compliance tracking, file management, and general administrative duties.
The successful candidate will possess strong communication skills, excellent organizational abilities, discretion with confidential information, and the ability to multitask in a dynamic workplace environment.
Key Responsibilities
Recruitment & Staffing
- Manage high-volume recruitment and sourcing for security guards, event staff, mobile patrol officers, and site supervisors.
- Create and manage job postings across multiple hiring platforms.
- Conduct resume reviews, phone screenings, interview scheduling, and initial interviews.
- Coordinate hiring documentation and employment offers.
- Support workforce planning and staffing needs across multiple locations.
Licensing & Compliance Management
- Verify and track the validity of Security Worker Licenses and drivers abstracts for all field staff.
- Monitor expiry dates and notify employees regarding required recertification and renewal procedures.
- Ensure all employees meet statutory and licensing requirements prior to assignment to client sites.
- Maintain employee files and ensure documentation remains current, compliant, and securely stored.
- Assist with health and safety documentation, compliance tracking, and training records.
Logistics & Onboarding
- Conduct new hire orientations and facilitate site-specific onboarding requirements.
- Ensure onboarding and ongoing training SOPs are completed, signed, and stored according to Onyx and Signal Security record-keeping requirements.
- Coordinate employee onboarding packages, uniforms, and training schedules.
- Manage uniform inventory, including distribution to new hires and collection from offboarded staff to mitigate community and brand risk.
Employee Relations & Administrative Support
- Act as a primary contact for employee inquiries regarding payroll, benefits, scheduling, and company policies.
- Support workplace investigations, disciplinary actions, coaching documentation, and employee development initiatives in conjunction with supervisors and managers.
- Support WorkSafeBC claims administration and workplace incident reporting procedures.
- Prepare letters, reports, disciplinary documentation, and internal communications.
- Maintain confidentiality regarding employees, clients, operations, and company information.
- Provide administrative support to management as required.
Reporting & Operational Support
- Prepare regular reports regarding recruitment metrics, staffing levels, turnover/attrition rates, and operational staffing requirements.
- Support payroll administration through timesheet review and data entry.
- Assist management with workforce planning and operational staffing coordination.
- Follow all Signal Security of the Okanagan policies, procedures, and professional standards.
Education, Experience & Related Requirements
- Diploma, certificate, or current enrollment in Human Resources, Business Administration, or related field considered an asset
- Previous administrative or customer service experience preferred
- Experience in security, operations, logistics, workforce scheduling, or high-volume staffing environments considered an asset
- Strong computer skills, including Microsoft Office Suite (Word, Excel, Outlook)
- Excellent English written and verbal communication skills; candidates may be requested to provide IELTS (or equivalent) results
- Strong organizational, time management, and multitasking abilities
- High degree of professionalism, discretion, and emotional intelligence
- Ability to handle confidential information appropriately
- Strong working knowledge of British Columbia employment standards and labour laws required
- Experience navigating British Columbia employment and labour laws relating to an immigrant workforce considered an asset
- Valid British Columbia Driver’s License (Class 4 or Class 5) required
- Willingness to complete the Basic Security Training course and obtain BC Security Workers License is mandatory for the chosen candidate
Working Conditions
This position is primarily office-based but may require occasional travel to client sites, training locations, job fairs, or recruitment events. Working hours generally occur during regular business hours; however, occasional evening or weekend availability may be required to support operational needs.
