Full job description

Job SummaryWe are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Your energetic approach and attention to detail will help foster an efficient, welcoming environment where everyone can thrive. This paid position offers an exciting opportunity to develop your administrative skills while contributing to a collaborative team dedicated to excellence.

Responsibilities:

Daily Packline & Grower Data Entry (~35% of time): Entering daily pack line pack outs (required to calculate grower payouts), reconciling grower empty bin records, and tracking daily apple inventory on Envio.
Grower Relations & Quality Communication (~25% of time): Communicating directly with local growers regarding crop estimates, delivery schedules, and fruit quality feedback.
On-Site Plant Logistics & Admin (~25% of time): Answering plant phones, greeting visitors/truck drivers, ordering office and plant supplies, handling local bank cash deposits, physical filing.
Ground Support for Central Finance (~15% of time): Gathering physical delivery notes, matching local credit card receipts, and sending raw paperwork to Ontario.

Skills:

Proven experience with office procedures, clerical work, and front desk responsibilities in a fast-paced environment.
Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar).
Excellent organizational skills with the ability to prioritize tasks efficiently while maintaining attention to detail.
Effective multi-tasking abilities using multi-line phone systems and managing high-volume customer interactions with professionalism.
Demonstrated data entry accuracy along with proofreading skills to ensure error-free documentation.
Exceptional customer service skills combined with strong phone etiquette and a friendly demeanor.
