We are currently seeking a collaborative and detail-oriented Office Administrator.

About the Role

Working out of our Osoyoos location, and reporting to the General Manager, the OfficeAdministrator plays a key role in supporting daily store operations by handling clerical and bookkeeping tasks, managing AP/AR records, preparing monthly statements, and maintaining inventory and sales data. The role also contributes to purchasing and inventory control, ensuring financial and product records are accurate, timely, and compliant with company policies.

Key Responsibilities

Maintain accurate accounts receivable and payable records, including customer balances, statements, credits, collections follow-up, and payment processing.
Verify invoices against purchase orders and receiving reports, track vendor discounts, and assist with resolving discrepancies, vendor credits, and freight damage claims.
Run weekly order scans, maintain order points and quantities, create and issue purchase orders, reconcile order confirmations, and manage SKU updates, price changes, and discontinued items.
Support inventory accuracy through cycle counts, variance investigations, and monthly inventory and sales reporting.
Audit daily sales transactions, invoices, and charge agreements; balance daily cash/cheques and prepare bank deposits.
Maintain filing systems, process mail, order office supplies, support data entry, and operate standard office equipment.
Provide centralized telephone support, make in-store announcements, and assist with special projects as assigned.
Offer cashier relief as needed and maintain confidentiality of all store, employee, and customer records.

What We Need From You

High school diploma or equivalent.
2–3 years of office administration experience.
Completion of a 10-month office administration program (or equivalent training).
Proficiency with computers (MSOffice, Excel, Word) and standard officeequipment.
Strong accuracy and attention to detail, particularly in financial recordkeeping.
Strong interpersonal & telephone skills
Organization, excellent time management skills, and deadline driven
Responsible and Dependable
Physically able to do computer work for extended periods; light lifting of boxes/files (up to 20 lbs).

Nice to have: (Specialized experience or industry knowledge)

Retail or building-materials industry experience.
Previous experience in bookkeeping, AR/AP, or inventory control.
