About the Role
Totum is seeking an enthusiastic, organized, and client-focused, long term Medical Receptionist / Administrator to join our Rosedale team. This role is ideal for someone who thrives in a fast-paced, people-centered environment and takes pride in creating a smooth, professional, and welcoming client experience. As the first point of contact for many of our clients, you will play an important role in representing Totum’s values through exceptional communication, strong organization and multitasking ability, and proactive support for both clients and practitioners.

Key Responsibilities

Welcome clients in person, by phone, and by email with professionalism, warmth, and efficiency
Schedule, confirm, reschedule, and manage appointments accurately
Support front desk operations, including check-in, payments, billing, and general administrative tasks
Coordinate practitioner schedules and help maintain a smooth daily flow for clinic operations
Assist with retail sales and inventory-related front desk support
Support studio and facility organization to ensure a polished client-facing environment
Maintain accurate records and handle client information with discretion and confidentiality
Communicate clearly with team members to support seamless client care and internal coordination

Qualifications

Must have 2+ years experience in a reception or administrative medical setting. Ideally in a healthcare, wellness, or multi-disciplinary clinic
Strong multitasking abilities and organizational skills with the ability to prioritize tasks and responsibilities in a busy environment
Excellent interpersonal, phone, and email communication skills
Professional, positive, and team-oriented attitude
Comfort using Microsoft Word, Excel, Outlook and Teams as well as learning new software systems
Experience with Jane App or any booking software managing several clinician or Doctors’ schedules.
Ability to take initiative and complete tasks independently
Reliable, detail-oriented, and committed to high-quality client service
Experience in Retail or Social Media in addition to this role is a plus*

Schedule

Monday to Friday – Start and end times to be determined and discussed. Will be within 8am – 6pm
Start date: Training mid-June with full start June 29th
