Speedy Glass is searching for an Operations Support Specialist that will play a critical role in supporting regional Operations teams (Retail & Vanfax) by providing day-to-day administrative, coordination, and logistical support. This position ensures the efficient execution of operational processes, vendor coordination, reporting, and employee support services while maintaining strong organizational standards and compliance with company policies.

Provide comprehensive administrative support to regional operations teams (Retail & Vanfax).

Manage and process requests for:
-
Uniform orders
-
Safety boot vouchers
-
Tool voucher distribution and tracking
-
Business cards
-
Invoice paper
-
Marketing materials and promotional items
-
Cheque requisitions
-
Coordinate and oversee Staples orders and approvals.
-
Maintain and manage cellular phone records and assignments.
-
Set up and maintain new vendor accounts, including credit applications.
-
Coordinate and manage services such as:
-
Floor mat services
-
Office subscriptions
-
Support procurement and tracking of operational supplies.
-
Coordinate recognition programs including:
-
Long service awards
-
Birthday acknowledgements
-
Employee flowers/gifts in accordance with company policy
-
Distribute promotional materials and support engagement initiatives.
-
Set up and maintain First Aid programs across locations:
-
First Aid kits
-
Eye wash stations
-
Support and track safety-related initiatives and compliance activities.
-
Assist with implementation and tracking of NSC-led (National Safety/Support Center) activities and promotions.
-
Act as a key contact for NSC shared services.
-
Maintain accurate records and filing systems (digital and physical).
-
Generate and monitor aging reports and follow up as required.
-
Manage and update information on internal platforms such as SharePoint
-
Track action items and ensure timely follow-up on operational reports and bulletins (e.g., Impact Bulletins).

Arrange and manage regional travel bookings.
-
Coordinate meeting scheduling, logistics, and materials for various operational meetings.
-
Support leadership with calendar coordination as required.
-
Distribute communications, reminders, and operational updates across the region.
-
Act as a central coordination point between field operations, vendors, and shared services teams.

Ensure timely follow-up on action items, requests, and internal communications.
What you will need:

Post-secondary education in Business Administration or a related field preferred.
-
2–4 years of administrative or operations support experience.
-
Experience in multi-site or regional support environments is an asset.

Strong organizational and time management skills with the ability to manage multiple priorities.
-
Excellent attention to detail and accuracy.
-
Effective communication and interpersonal skills.
-
Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams); experience with SharePoint preferred.

Ability to work independently and proactively in a fast-paced environment.

Strong problem-solving and coordination skills.
