Location: Oro-Medonte, ON (North of Barrie)
Job Type: Part to Full Time
Schedule: Monday to Friday, Day Shift, Weekends as Required – 25 up to 42.5 Hrs/Week + more during peak times
Work Location: In Person

Position Summary

AllStar Auctions located in Oro-Medonte is currently seeking a motivated and detail-oriented Accounting/Administrative Assistant to join our growing team. Ideal for an individual who thrives in a fast-paced environment, possesses strong communication and organizational skills and can easily alternate between various work environments.

The successful candidate will support the administrative team, the Controller and marketing when required. The position offers a vast range of tasks with potential to grow within the company. This is a part time position starting with 25 hours per week, however will increase to 42.5 hours per week at busy periods with the potential for overtime. Depending on experience the starting wage ranges from $20-$22 per hour based on qualifications.

Responsibilities may include but not limited to

Greet customers and visitors in a professional and friendly manner and direct customers to the appropriate department or staff member as needed
Answer incoming phone calls and respond to customer inquiries
Explain auction terms, conditions, and bidding procedures to customers
Assist with inventory control including tracking consignments arriving at the yard, entering and updating consignment information in Salesforce and AuctionFlex
Upload photos and videos to auction listings
Auction invoicing and follow up with bidders regarding payment and pick up
Ensure all payment transactions are completed accurately and efficiently within the auction and accounting software
Book pickup appointments for customers
Creating, updating and reviewing various auction spreadsheets
Assist with various accounting tasks
Assist with marketing/social media maintenance
Prepare, maintain and organize required paperwork, records and documentation as required
General office duties as required

Requirements

College Diploma in business or administration or equivalent in work experience
Proficient with QuickBooks and Microsoft Office (Outlook, Word, Excel)
Minimum 1 year proven accounting/bookkeeping and office administration experience
Ability to maintain priorities while maintaining high quality work
Ability to work independently and collaboratively within a team
Strong analytical and problem solving skills
Strong verbal, written and interpersonal communication skills
Ability to manage stress and work effectively under pressure and varying work pace situations
Professional appearance and conduct
Accountability and dependability
Reliable vehicle required (no public transportation available)
Flexibility to work weekends and early shifts as needed
Enforcing policies, rules and regulations
Excellent organizational and time management abilities
Able to learn/adapt to new software programs and varying work environments
Money handling experience
Bilingualism (English/French or English/Spanish) an asset
Auction industry experience an asset
Salesforce/CRM and Auctionflex experience an asset but not mandatory
