Michael Segal Professional Corporation is an Ottawa-based law firm and solicitor’s practice specializing in Corporate & Commercial Law, Wills & Estates, and other types of transactional legal work. We are currently searching for a committed, professional, and flexible Part-Time Legal Assistant, with an immediate opening. This posting will remain active on Indeed until filled.
1. Job Description
Reporting to firm principal Michael Segal, the Part-Time Legal Assistant will provide assistance to firm lawyers and staff, primarily in the areas of Corporate law and Wills & Estates. This includes, but is not limited to:
· Preparing Annual Filings and related corporate legal documents (i.e. Articles of Incorporation, Amendments/ Dissolutions, government filings);
· Maintaining corporate minute books (both digital and physical files);
· Managing, organizing, collating information, and assisting in the drafting of Wills, Powers of Attorney, and other estate planning documents;
· Providing direct legal assistance to a firm Junior lawyer;
· Interacting directly with firm clients, external counsel, and service providers;
· Fulfilling general administrative and clerical duties, including assisting with billing and invoicing;
· Other special projects and assignments, as may be required.
Hours will be flexible part-time, beginning at 20 hours per week, with the opportunity for increased total regular hours, working toward a potential full-time role. Business hours are 9:00 am-5:00 pm; however, team members at times communicate and work on client files outside of normal hours, according to the needs of the firm. Aside from an initial training and introductory period in this role in-office, many of the duties and functions of this role can be performed remotely in a hybrid manner. Weekly firm staff meetings and other select engagements where attendance at the firm is required in person (i.e. physically filing/ organizing documents, client meetings, etc.).
The wage for this position is $22.00-25.00/ hour, commensurate with experience.
The targeted start date for this position is August 17th, 2026.
The ideal candidate should be easy to work with, technically proficient, open to learning through research and guidance, and resourceful. A passion for administration, as well as for providing timely, accurate, and complete information/ documents, is essential. Finally, a personal dedication to client service, being detail-oriented, and working collaboratively are all “must-haves.”
2. Requirements
· Experience: previous experience in a law firm or legal setting is not required (though it is an asset). A background in business operations, accounting/ bookkeeping, or clerical/ administration are strong asset. Previous experience writing/ editing legal documents is also an asset. Relevant work experience in other document preparation, communications, professional service provision, or academic settings is also an asset. · Education: a college or university degree is required; however, current students with a strong academic background and willingness to learn and who are completing their studies and have adequate availability may also be considered. · Languages: this position requires a strong command of the English language and native English proficiency. The ability to communicate in French is not required; however, bilingualism is an asset. If you are bilingual, please describe your language proficiency in your Cover Letter (optional/ if applicable).
· Location: this is a hybrid work opportunity; however, candidates must be located within the Greater Ottawa Area and must have access to reliable transportation and/ or a vehicle. · Technical Aptitudes: advanced proficiency with Microsoft Office Suite, Adobe Reader (PDF), and Windows or macOS is required. Knowledge of MinuteBox and/or Clio practice management software is a strong asset. Access to a computer, smartphone, and reliable internet/ data connection is also required. · Availability: the successful candidate must be regularly available by e-mail/ phone and able to respond to time-sensitive inquiries and requests in a prompt manner. Business hours are 9:00 am-5:00 pm, Monday to Friday; however, our team often responds to e-mail inquiries after hours in a timely manner, including over weekends. Checking and responding to e-mails promptly throughout the day, however, is a basic expectation of this role.
