Role Overview

The Senior Property Accounting Technician is responsible for performing full-cycle bookkeeping and accounting support functions for a portfolio of residential and commercial properties. The role focuses on maintaining accurate financial records, processing transactions, reconciling accounts, and supporting reporting requirements across multiple entities in a high-volume environment.

The successful candidate will operate in a high-volume, deadline-driven environment and must demonstrate the ability to independently administer end-to-end accounting processes across multiple properties, ownership structures, and client mandates.

This is a hands-on, senior-level accounting role requiring deep technical knowledge, exceptional attention to detail, and proven experience working within institutional-grade property management and accounting systems.

Key Responsibilities

Accounting and Financial Oversight

Full-cycle accounting for a portfolio of 30+ legal entities, including residential and commercial properties under management
Maintain and reconcile trust accounts, including tenant security deposits, rent collections, and compliance with applicable provincial legislation
Assist in preparing financial reports and supporting schedules
Assist with month-end and year-end procedures across all entities, ensuring accuracy and timeliness
Maintain general ledgers and chart of account

Accounts Payable and Receivable

End-to-end accounts payable processing, including invoice review, coding, approvals, and payment execution
Accounts receivable management, including rent rolls, recoveries, and owner billings
Reconciliation of rent rolls to general ledger and bank activity
Monitoring and resolution of aged receivables and payables

Intercompany and Cash Flow Management

Management and reconciliation of intercompany transactions and balances across related entities
Preparation and monitoring of cash flow projections and liquidity reporting
Support for funding requests, inter-entity transfers, and cash optimization

Property and Owner Reporting

Prepare supporting financial summaries for review by management
CAM reconciliations and recovery calculations
Assist with updating budget spreadsheets related to managed properties as directed
Communicate with property managers to obtain documentation and clarify transactions

Systems, Software, and Data Integrity

Ongoing maintenance and use of Yardi systems, including: Yardi Voyager 7s, Yardi Senior Housing, Yardi Elevate
Experience onboarding new properties and clients into Yardi, including system setup, data migration, and testing
Use of Sage 50 Premium Accounting and QuickBooks Desktop and Online as required across entities
Payroll administration and coordination using Payworks and Easy Pay Payroll
Advanced Excel usage for reconciliations and reporting

Development & Construction Financial Operations

Prepare and record approved progress billings based on contract terms.
Record approved change orders and update job cost records.
Maintain accurate work-in-progress (WIP) schedules and performing monthly reconciliations.
Support year-end inventory counts of construction-related materials, including scaffolding and scrap materials.
This role requires comfort operating within active construction environments and close collaboration with project, operational, and external stakeholders.

Cross-Functional Property & Operational Oversight

In addition to core accounting duties, this role requires hands-on involvement in the operational management of commercial and light industrial real estate.

Responsibilities include:

Assist in tracking site maintenance expenses and related documentation.
Coordinate and track repairs and maintenance invoices and related documentation
Engage with tenants regarding rents, operational issues, conflicts, and lease-related matters
Assist in applying working knowledge of Ontario commercial leasing and related legislation
Manage rent collection, including aged and overdue accounts
Operate effectively in a sometimes complex and contentious tenant environment

Required Qualifications and Experience

Minimum 5+ years of progressive experience in property/portfolio accounting
Demonstrated experience administering full-cycle accounting for 30+ entities simultaneously
Direct experience with residential and commercial real estate properties
Advanced proficiency in Yardi (Voyager 7s, Senior Housing, and Elevate required)
Advanced proficiency in Payworks and Easy Pay Payroll
Strong working knowledge of Sage 50 Premium Accounting and QuickBooks (Desktop and Online)
Proven experience with CAM reconciliations, rent roll reconciliations, and trust accounting
Advanced Excel skill
Ability to work independently with minimal supervision in a high-accountability role
Exceptional attention to detail and commitment to data integrity
Strong communication skills and ability to support internal and external stakeholders
Given the nature of Long-Term Care assets forming such an integral portion of the portfolio, in emergency situations the Accounting Specialist must be available 24/7/365

Education

Post-secondary degree in Business, Finance or Accounting

Preferred Qualifications

Experience supporting properties portfolios with significant asset values
Exposure to valuation support, lender reporting, or investor reporting
Experience onboarding new properties or transitioning portfolios between systems
Canadian accounting experience with knowledge of provincial trust and tenancy regulations
