Full job description

Responsabilités principales / Key Responsibilities

FR :

Maintenir à jour les dossiers locataires et les données dans les systèmes (Yardi, RentCafe, DashQ etc.).
Préparer et envoyer les documents liés aux baux, renouvellements et modifications.
Effectuer la perception des loyers et appliquer les procédures de suivi pour les soldes impayés.
Gérer les relances et communications liées aux comptes à recevoir.
Répondre aux demandes administratives des locataires (téléphone, courriel, portail).
Coordonner les communications officielles, avis et lettres en collaboration avec le Directeur des Opérations.
Effectuer la facturation des locations et valider l’exactitude des charges applicables.
Gérer administrativement les déménagements (entrées et sorties) et les suivis documentaires.
Produire divers rapports (baux, renouvellements, état locatif, comptes à recevoir).
Saisir les factures liées aux immeubles et aux locataires.
Préparer et suivre les dossiers du Tribunal administratif du logement (TAL).
Assurer la coordination administrative avec les sous-traitants et fournisseurs.
Collaborer avec les équipes internes pour assurer la fluidité des opérations.
Travailler efficacement avec plusieurs logiciels et plateformes de gestion au quotidien afin d'assurer l'exactitude des données et la fluidité des opérations.
Appliquer les politiques internes.

EN:

Maintain accurate tenant files and update information in management systems (Yardi, RentCafe, DashQ, etc.).
Prepare and send documents related to leases, renewals, and modifications.
Process rent payments and follow up on outstanding balances in accordance with established procedures.
Manage follow-ups and communications related to accounts receivable.
Respond to administrative inquiries from tenants (phone, email, portal).
Coordinate official notices, letters, and communications with the Director, Operations.
Carry out billing for rentals and ensure the accuracy of applicable charges.
Manage administrative tasks related to move-ins and move-outs, including documentation.
Produce various tracking reports (leases, renewals, occupancy, receivables).
Enter invoices related to buildings and tenants.
Prepare and track files for the Administrative Housing Tribunal (TAL).
Support administrative coordination with subcontractors and service providers.
Collaborate with internal teams to ensure smooth operational flow.
Work efficiently across multiple business software applications and management platforms while maintaining accurate data and documentation.
Apply internal policies.

Profil recherché / Desired Profile

Excellente organisation, rigueur et souci du détail.
Capacité à gérer plusieurs priorités dans un environnement dynamique.
Excellentes habiletés de communication orale et écrite.
Bilingue - Anglais et français.
Excellente aisance informatique et facilité à apprendre rapidement de nouveaux logiciels de gestion.
Aisance à travailler simultanément dans plusieurs logiciels et plateformes informatiques.
Maîtrise des outils bureautiques (Excel, Outlook) ; connaissance de Yardi (atout).
Expérience en administration ou gestion locative (atout majeur).
Sens du service et esprit d’équipe.

Strong verbal and written communication skills.
Bilingual - English and French.
Strong computer aptitude and the ability to quickly learn new business software and management systems.
Comfortable working across multiple software applications and business platforms simultaneously.
Proficiency with Microsoft Office tools (Excel, Outlook); knowledge of Yardi is an asset.
Experience in administration or leasing operations is a strong asset.
Customer-service mindset and strong team spirit.
