GIHEKDAGYE FRIENDSHIP CENTRE JOB DESCRIPTION – FINANCE CLERK
Position Title: Finance Clerk
Employment Status: Part-Time
Wage: $22.00–$25.00 per hour, based on qualifications and experience
Reports To: Finance Administrator / Executive Director
Location: Gihekdagye Friendship Centre
POSITION SUMMARY
The Finance Clerk provides administrative and financial support to the Gihekdagye Friendship Centre's finance operations. The position is responsible for assisting with accurate financial data entry, accounts payable, reconciliations, financial record keeping, budget tracking, and year-end audit preparation.
The Finance Clerk will work closely with the Finance Administrator and management to ensure financial records are organized, accurate, confidential, and maintained in accordance with organizational policies, funding requirements, and established financial procedures.
KEY RESPONSIBILITIES
Accounts Payable & Financial Processing
- Receive, review, organize, and process invoices and supporting documentation.
- Assist with accounts payable and payment preparation.
- Verify that appropriate approvals and supporting documentation are received prior to processing.
- Accurately enter financial transactions into the organization's accounting system.
- Maintain organized records of invoices, payments, purchase documentation, and other financial transactions.
- Assist with tracking outstanding invoices and payment-related documentation.
Reconciliations
- Assist with monthly bank, credit card, and account reconciliations.
- Identify discrepancies and bring concerns to the attention of the Finance Administrator.
- Ensure supporting documentation corresponds with transactions entered into the accounting system.
- Assist with maintaining accurate general ledger information.
Budget Support
- Assist the Finance Administrator and management with budget tracking and financial monitoring.
- Enter and maintain budget information as required.
- Assist with comparing expenditures against approved program and organizational budgets.
- Help identify missing information or potential discrepancies for review.
- Prepare financial information and supporting documentation requested by management.
Year-End & Audit Preparation
- Assist with preparing financial records and documentation for the organization's annual audit.
- Organize invoices, receipts, reconciliations, approvals, funding documentation, and other records requested by auditors.
- Assist with responding to documentation requests under the direction of the Finance Administrator or Executive Director.
- Maintain financial files throughout the year to support efficient year-end and audit preparation.
Financial Records & File Management
- Maintain accurate and organized electronic and physical financial files.
- Ensure invoices, receipts, approvals, cheque documentation, reconciliations, and other financial records are filed appropriately.
- Maintain confidentiality and securely handle sensitive financial, employee, client, and organizational information.
- Assist with maintaining records in accordance with organizational retention requirements.
Administrative Support
- Provide general administrative support to the Finance Department.
- Assist with spreadsheets, reports, data entry, filing, photocopying, scanning, and document preparation.
- Communicate with staff regarding missing financial documentation when required.
- Assist with gathering information for funder reporting and internal financial reporting.
- Perform other finance-related duties as assigned that are consistent with the position.
QUALIFICATIONS
- Diploma, certificate, coursework, or relevant experience in accounting, bookkeeping, finance, business administration, or a related field is preferred.
- Previous experience in bookkeeping, accounts payable, financial administration, or a similar role is considered an asset.
- Experience with accounting software and Microsoft Excel is preferred.
- Knowledge of basic accounting principles, reconciliations, accounts payable, and financial record keeping.
- Experience working within a non-profit, Indigenous organization, or funded program environment is considered an asset.
- Equivalent combinations of education and relevant experience will be considered.

CONFIDENTIALITY & PROFESSIONAL RESPONSIBILITY
The Finance Clerk will have access to confidential and sensitive organizational and financial information. The successful candidate must maintain strict confidentiality and comply with all Gihekdagye Friendship Centre policies and procedures.
The Finance Clerk is expected to immediately report financial discrepancies, missing documentation, unusual transactions, or other financial concerns to the appropriate supervisor and must not independently authorize expenditures or financial transactions outside the authority assigned to the position.
WORKING CONDITIONS
- Part-time position.
- Wage range of $22.00–$25.00 per hour, based on qualifications and experience.
- Primarily office-based.
- Regular computer and financial data-entry work.
- May experience increased workload during month-end, year-end, audit preparation, and reporting periods.
- Must be able to maintain accuracy and confidentiality while working with multiple financial deadlines.
