Job Summary

We are seeking a dynamic and highly organized Receptionist/Administrator to join our team! In this vital role, you will be the first point of contact for visitors and callers, ensuring a warm, professional, and efficient experience. Your expertise in office management, customer service, and administrative support will help keep our operations running smoothly. This paid position offers an exciting opportunity to contribute to a vibrant workplace environment while honing your clerical and organizational skills.

Duties

Greet visitors promptly and professionally, managing front desk operations with enthusiasm and courtesy
Answer multi-line phone systems efficiently, directing calls accurately and providing exceptional customer support
Manage appointment scheduling, calendar coordination, and follow-up communications using Microsoft Office and Google Workspace tools
Perform data entry tasks with precision, maintaining accurate records in QuickBooks and other relevant software
Handle filing, document proofreading, and general administrative tasks to support daily office functions
Assist with bookkeeping duties such as invoicing, billing, and expense tracking using QuickBooks or similar platforms
Support medical or dental office operations by managing patient records, verifying insurance information, and coordinating appointments (if applicable)

Qualifications

Proven office experience with strong clerical skills and familiarity with front desk procedures
Excellent customer service skills with professional phone etiquette and organizational abilities
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Strong computer skills including data entry, typing accuracy, proofreading, and file management
Experience working with multi-line phone systems in a fast-paced environment
Knowledge of QuickBooks for bookkeeping tasks is highly desirable
Previous medical or dental office experience is a plus but not required; training will be provided for relevant software or procedures
Demonstrated organizational skills with attention to detail in filing, scheduling, and record keeping
