What will you be doing!

Coordinating the workflow for the Head of Directorate (HoD) and the directorate:
-
Managing HoD scheduling of meetings and appointments with internal and external customers and taking appropriate action.
-
Coordinating meetings, such as booking rooms, sending invites, ordering catering.
-
Reviewing HoD’s incoming correspondence and electronic mail and taking appropriate action.
-
Preparing correspondence, minutes, action lists; and prioritizing commitments.
-
Tracking and following up on actions placed on the HoD and the division.
-
Acting as liaison between HoD Managers and division staff:
-
Organizing events such as directorate seminars, workshops, etc.
-
Arranging/coordinating travel and preparing and submitting expense claims.
-
Maintaining accurate office records and files/follow-up system for outstanding issues.
-
Ensuring reports meet CNL standards:
-
Adhering to CNL's corporate document standards and rules (formats, storage and numbering protocols).
-
Working with various groups both within and outside of the departments and ensuring reporting requirements are met.
-
Reviewing and updating documents (formal documents, presentations, spreadsheets) and ensuring formatting requirements are met.
-
Communicating objectives, directives, policies/procedures, and general information to staff, and ensuring quality of cross-functional administrative processes.

Assisting management with protected sensitive Human Resource / Financial requirements:
-
Handling sensitive and confidential information pertaining to all levels of Departmental and/or Division staff.
-
Working with the HoD and/or Managers in assisting with and preparing promotion cases.
-
Preparing Human Resource documentation and hiring documentation for approval.
-
Coordinating meetings and gathering data from managers for various HR processes, such as the performance management cycle and succession planning.
-
Assisting in the budget process (reporting forecasts, submissions to Finance).
-
Working independently, administering and coordinating aspects of the Federal Nuclear Science & Technology (FNS&T) and CANDU Owners Group (COG) programs such as:
-
Interfacing with COG R&D for reporting, delivery, and administrative matters as needed.
-
Interfacing with other CNL staff with regard to FNS&T programs in the directorate area.
-
Working collaboratively with the S&T Business Management office on reporting.
-
Tracking and following up on actions placed on the HoD and Managers, including PEMP and APWB items.

Day-to-day office administrative duties:
-
Tracking and ordering supplies,
-
Photocopying/printing,
-
Submitting maintenance/IT requests,
-
Submitting expense reports.
-
Other duties as assigned by your manager.
What we are looking for:

Education
-
Successful completion of secondary school (Grade 12).
-
Post-Secondary training in Business Administration would be an asset.
-
Experience
-
Five (5) years of experience in an administrative role, or equivalent.
-
Knowledge, Skills & Abilities

Proficiency in Microsoft Office with expertise in Microsoft Word, PowerPoint, and Excel.

Demonstrated ability to be detail-oriented and comfortable working in a fast-paced, high-volume office environment.

Knowledge of COG CANDU documents, formatting, communications, and processes.

Security Clearance Eligibility Required

Reliability Status with Site Access Security Clearance (SASC), which has a minimum requirement of 3-5 years of verifiable history in Canada, Australia, New Zealand, the United States and/or the United Kingdom. CNL implements security screening in accordance with the Treasury Board of Canada Secretariat's “Standard on Security Screening” and the “Policy on Government Security.”
