JOB SUMMARY
Reporting to the Senior Administrator, the Receptionist is the first point of contact for the Kwakiutl Band and is responsible for ensuring all visitors are greeted in a friendly, respectful, and professional manner. The Receptionist will assist with front office administration, communication, scheduling, inventory, and general office support duties.
DUTIES / RESPONSIBILITIES
FRONT OFFICE
- Greet and assist all visitors in a friendly and professional manner
- Answer and direct incoming telephone calls and messages
- Maintain a respectful and welcoming office environment
- Ensure visitors and staff are always treated respectfully
- Maintain confidentiality regarding office and membership matters
- Provide administrative support to management and staff as required
- Assist with filing, photocopying, scanning, and document preparation
- Receive and distribute incoming mail, emails, and faxes
- Maintain office organization and cleanliness
- The front office can be busy and demanding; the ideal candidate must be personable, patient, organized, and able to multi-task effectively
OTHER DUTIES INCLUDE
- Maintaining the coffee station
- Inventory ordering, receiving, and shipping
- Completing mail logs and cheque distribution
- Booking and renting facilities
- Maintaining photocopier and fax machine
- Maintaining emails and faxes on a regular basis and distributing them to the appropriate department
- Assisting with office supply inventory and ordering
- Supporting special events, meetings, and community functions as required

REQUIREMENTS
- Knowledge of the Kwakiutl community, culture, and language is considered an asset
- Minimum Grade 12 education or equivalent is required
- Preference may be given to applicants with a certificate in Office Administration or an appropriate combination of education, training, and experience
- Strong computer skills in Microsoft Office and general office applications
- Ability to type 30-40 words per minute is an asset
- Strong telephone etiquette and communication skills
- Ability to work independently and within a team environment
- Ability to manage time effectively and efficiently
- Excellent interpersonal and organizational skills
- Strong initiative and problem-solving abilities
- Successful criminal record check required

Term: Full-time 35 hours per week
Compensation: Wage Range:
$19.00 to $24.00 per hour depending on experience level. Eligible for benefits after three months
