Intermediate Accountant / Accounting Coordinator

Position Summary
The Intermediate Accountant / Accounting Coordinator is responsible for supporting the day-to-day accounting, bookkeeping, reporting, and financial administration functions of the company.
Reporting to the VP Operations and working closely with ownership, external accountants, and the administrative team, this role will help ensure accurate financial records, timely reporting, strong financial organization, and reliable administrative support across the business.
This position is intended for a hands-on accounting professional with strong bookkeeping and organizational capabilities who is comfortable working in a fast-paced, entrepreneurial manufacturing environment. The successful candidate will be detail-oriented, proactive, highly organized, and capable of supporting both financial processes and broader operational coordination activities when required.
This role is not intended to function as a senior Controller or CFO-level position. Strategic financial leadership, operational direction, and executive decision-making responsibilities will remain with the VP Operations, ownership, and external accounting advisors.
Accounting & Bookkeeping
· Maintain accuracy and integrity of the general ledger
· Perform day-to-day bookkeeping and accounting functions
· Coordinate with the Accounts Payable administrator and other administrative personnel to ensure accurate financial processing and documentation
· Assist with monthly, quarterly, and year-end closing activities
· Prepare and reconcile bank accounts, credit cards, and related financial records
· Maintain organized accounting records and supporting documentation
· Assist with preparation of financial reports including Income Statements, Balance Sheets, and Cash Flow reporting
· Support external accountants and auditors with required financial information and documentation
· Maintain accurate loan, lease, and amortization schedules
· Assist with monitoring departmental spending and expense tracking
· Support cash flow tracking and financial organization activities
Payroll & Project Time Tracking
· Coordinate payroll information with the external payroll provider
· Collect, review, and input employee hours accurately into payroll and project tracking systems
· Ensure labor hours are properly allocated to projects and operational activities
· Support payroll-related reporting and documentation requirements
ERP & Systems Administration
· Maintain working knowledge of Sage / Sage 300 accounting systems
· Assist with ERP data accuracy, reporting, and system administration activities
· Support process improvements and financial workflow organization
· Help improve accounting and administrative efficiency through better systems and process discipline
Administrative & Operational Support
· Support day-to-day administrative coordination activities across the business
· Assist with maintaining insurance records, corporate records, and operational documentation
· Provide administrative support for banking, financing, and vendor documentation as required
· Support operational reporting and KPI tracking activities
· Assist with purchasing coordination, project administration, and operational documentation when required
· Help maintain organized business records and filing systems
Financial Reporting & Business Support
· Assist the VP Operations and ownership with timely financial reporting and operational information
· Support budgeting, forecasting, variance tracking, and financial analysis activities
· Help provide accurate financial information to support operational planning and business decision-making
· Assist with gathering operational and financial data for reporting purposes
· Maintain confidentiality and professionalism with all financial and business information
Qualifications
· Post-secondary education in Accounting, Finance, Business Administration, or related discipline
· 3–7 years of accounting or bookkeeping experience, preferably within a manufacturing or operational environment
· Strong bookkeeping and account reconciliation skills
· Experience with Sage / Sage 300 or similar ERP/accounting systems
· Strong understanding of general accounting principles and financial organization
· High attention to detail and strong organizational skills
· Strong Microsoft Excel and computer skills
· Ability to manage multiple priorities and deadlines in a fast-paced environment
· Strong communication and interpersonal skills
· Self-motivated, dependable, and proactive work style
Preferred Experience
· Experience in a small-to-mid-sized entrepreneurial or family-owned business environment
· Exposure to manufacturing, project-based accounting, job costing, or inventory-related accounting
· Experience supporting external accountants, audits, and month-end/year-end reporting
· Experience with payroll coordination and project labor tracking
· Familiarity with operational reporting and KPI tracking considered an asset
