Overview
We are seeking an organized, proactive, and detail-oriented Operations & Administration Coordinator to join our team. This position plays a key role in keeping our office, projects, and people running efficiently while providing administrative support across operations, human resources, marketing, and client relations.

The successful candidate will be highly organized, customer-focused, and able to manage multiple priorities in a fast-paced environment. This role will evolve as the company continues to grow and offers excellent long-term career opportunities.

Responsibilities

Coordinate recruitment activities, including job postings, candidate screening, interviews, and onboarding.
Prepare employment documentation and maintain employee records.
Assist with employee training, certifications, and performance review administration.
Coordinate immigration and work permit documentation.
Provide day-to-day administrative support to the management team.
Coordinate meetings, prepare agendas, record minutes, and communicate action items.
Assist in developing and improving office procedures and systems.
Coordinate administrative requirements for new project start-ups, including project documentation, site packages, and project records.
Support project managers with administrative tasks and document control.
Assist with tender submissions and proposal preparation.
Maintain and update the company website and social media platforms.
Support company branding, community engagement, and marketing initiatives.
Provide accounts payable administrative support, including invoice organization and filing.
Oversee front desk operations, including managing multi-line phone systems and greeting visitors with professional phone etiquette.
Support business development initiatives and lead generation activities.
Coordinate health and safety meetings, documentation, and communications.
Track employee certifications, training, and compliance requirements.
Maintain health and safety records and support regulatory compliance.
Support company-wide initiatives that improve operational efficiency.
Coordinate special projects, events, and administrative priorities as assigned.
Perform other related duties to support the continued growth and success of ALR Builds.
