Job Summary
We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support office management functions. Your positive attitude and organizational skills will help create a professional and friendly environment for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a dynamic team.

Duties

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Answer multi-line phone systems efficiently, directing calls accurately and professionally
Manage appointment scheduling, calendar coordination, and meeting arrangements using Microsoft Office and Google Workspace tools
Handle data entry, filing, and document proofreading to maintain organized records
Support office management tasks such as supply inventory, filing systems, and basic bookkeeping using QuickBooks or similar software
Provide customer support by addressing inquiries via phone or email with excellent phone etiquette and professionalism
Assist with clerical duties including typing correspondence, managing office emails, and supporting administrative projects as needed

Experience

Prior office experience in a reception or administrative role is highly preferred
Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Experience managing multi-line phone systems and providing exceptional customer service in fast-paced environments
Bilingual abilities are a strong plus for communicating effectively with diverse clients and team members
Knowledge of office management procedures such as filing, data entry, calendar management, and proofreading is essential
Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required
Strong organizational skills combined with time management abilities to prioritize tasks efficiently
