Contribute to the successful delivery of strategic initiatives at the heart of a dynamic organization!

CGI Saguenay’s Center of Excellence is seeking an Administrative Assistant who will work with a dynamic team of nearly 250 professionals. In this role, you will work closely with the Vice President to support the achievement of business objectives.

Work Mode: Onsite
Location: Saguenay

Your future duties and responsibilities

Plan and organize internal and external meetings by proactively and continuously managing calendars (invitations, location/meeting room/conference call arrangements, catering, etc.)
Draft and distribute informational emails to CGI employees, letters, and other documents (in both English and French)
Manage administrative procedures, including travel arrangements, expense reports, and approvals/authorizations within CGI systems
Manage office annual subscriptions, sponsorship requests, and related administrative activities
Monitor administrative processes on an ongoing basis (sales calls, annual performance reviews, mandatory training, system updates, etc.)
Ensure the continuous and compliant filing of administrative and business documentation for sub-sectors using the SharePoint filing system
Prepare for and participate in events
Prepare agendas and meeting minutes for sub-sector committees
Maintain excellent business relationships with clients (executive assistants, visiting clients, etc.)
Support the onboarding of new CGI employees within the team (welcoming, office reservations, etc.) and coordinate offboarding activities (equipment retrieval)
Manage procurement needs and various purchases (office supplies, coffee, special events, fruit deliveries, etc.)
Monitor time reporting compliance through compliance reports
Track employees' completion of mandatory training programs

Required qualifications to be successful in this role

Proficiency with Microsoft tools (Outlook, Word, Excel, and PowerPoint)
Strong writing, editing, and executive presentation formatting skills
Experience and aptitude in event planning and coordination
Self-motivated, intuitive, and proactive personality with the ability to take initiative
Excellent listening skills and a strong understanding of the Vice President’s needs
Sound judgment with the ability to make and execute decisions quickly and effectively
Proactive mindset, analytical thinking, strong prioritization skills, and proven organizational abilities
Professionalism, diplomacy, and a strong understanding of client and business unit needs.
Discretion, loyalty, and punctuality
College diploma or equivalent experience in a related field
Strong adaptability, attention to detail, and commitment to quality
Demonstrated potential and strong motivation for the role
Excellent communication skills in both French and English (spoken and written)

CGI is providing a reasonable estimate of the pay range for this role. The determination of this range includes factors such as skill set level, geographic market, experience and training, and licenses and certifications. Compensation decisions depend on the facts and circumstances of each case. A reasonable estimate of the current range is 40 000$ et 75 000$. This role is an existing vacancy.
