Position Title

Student Enrolment Centre Specialist - Awards

Position Summary

The Student Enrolment Centre (SEC) serves as a single location for students to access academic and prospective advising, award, and funding information. This position is a specialist on funding options and an expert on student awards.

This position’s primary role is to serve as the expert regarding student awards. The SEC Specialist – Awards is responsible for planning, implementing and providing specialized awards services to learners, Red Deer Polytechnic staff and to the community. Responsibilities include policy interpretation, issue identification with proactive risk management, managing and training staff on awards programming, and the provision of accurate information to the Associate Registrar – Engagement Services.

Using a learner-centered approach, the SEC Specialist – Awards will provide guidance to current and prospective students to maximize access to awards and ensure they have the appropriate financial supports to successfully achieve their educational goals. This role requires the ability to solve complex problems, make decisions and find solutions while exercising independent judgment and maintaining confidentiality. This position requires a high degree of flexibility, creativity, initiative, and collaboration.

Position Responsibilities

General Client Service:

Provide award and funding information to students, stakeholders, and RDP staff in a timely and professional manner
Respond to inquiries made in person, by phone, email, or mail
Create confirmation of enrolment letters/forms.
Inform Associate Registrar – Engagement Services of emerging issues as necessary.
Maintain knowledge of RDP policies and procedures.
Refer students to other services and resources as necessary.
Collect and accurately record student information ensuring FOIPP standards are maintained.
Enter information into Banner and awards software and prepare reports as needed.

Awards:

Screen students and refer them to the award opportunities they may be eligible to receive.
Guide students through the application processes for RDP and government awards.
Advise and communicate with students on the status of their award application(s).
Provide instructions for submitting the documentation required for award disbursement.
Advise students of the disbursement process for various awards.
Generate a list of awards students have received through RDP and government programs
Respond to student requests for details on specific RDP awards.
Advise and communicate with students regarding the consequences of academic decisions as related to awards.
Research and direct students to external award opportunities.

Funding:

Screen students and refer them to the appropriate type of funding for their unique situation.
Guide students through the application process for all types of funding.
Advise students on the process for submitting missing information and funding appeals.
Determines eligibility for Emergency Funding including Emergency Bursaries, Emergency Food Hampers, and Emergency Book Loans
Sign government forms related to funding (authorized signing official).

Awards Program Administrator:

Is RDP’s primary expert on student awards.
Responsible for ensuring all staff members are knowledgeable on award opportunities, deadlines and processes.
Responsible for training staff on RDP awards and award software programs.
Provides day-to-day direction regarding awards to the Funding and Awards Advisor.
Reports Awards information and feedback to the Associate Registrar, Student Services as requested.
Manages the awards program in accordance with RDP policies and standard practices and in compliance with applicable external policy.
Responsible for training and ensuring compliance of Funding and Awards staff members in regards to applicable legislation, policies and procedures.
Evaluate administrative processes of the awards program for effectiveness and efficiency. Analyze how RDP and stakeholder policies interact with the awards program. Identify potential issues solutions and implements them.
Liaise with colleagues in various educational institutions within Alberta and Canada regarding best practices and to ensure RDP offers superior programs and services in the area of awards.
Consult and communicate with internal and external stakeholders as needed.
Develop content for awards related publications.
Collaborate with Marketing and Communications to promote and market awards to students through a variety of promotional vehicles.
Research award opportunities that may be relevant to RDP students.
Collaborate with Development and Alumni Relations in the creation of new awards and on the maintenance of the awards program within the student awards software.
Confirm students’ eligibility for awards.
Monitor students’ continued eligibility for awards.
Terminate awards as necessary. Communicate with appropriate internal and/or external stakeholders.
Manage the annual awards cycle and lead the ongoing progression through the cycle.
Coordinate requirements for the awards program with Information Technology. Builds RDP awards within the student awards program software.
Responsible for the integrity of information in the RDP award database.
Provide direction to the Fees Office and Payroll relating to award recipient accounts and tuition credit awards.
Provide direction to the Fees Office regarding award payments and refunds.
Confirms funds with Development and Alumni Relations and Finance regarding the release of funds.
Creates and communicates award selections committees with faculty and student members.
Selects recipients for awards for over 500 students.
Responsible for required reporting related to government awards.
Primary liaison with Alberta Student Aid in regards to awards.
Represent RDP as a member of the Alberta Student Awards Personnel Association (ASAPA).·
Advocate for improvements to government award programs through membership with ASAPA.

Emergency Funding Program Administration

Recognize that a student is in crisis, even if the student is not forthcoming regarding the full nature of their situation.
Advise students on the application process for a food bank referral, emergency loan, and/or emergency bursary.
Issue emergency refunds and book loans.
Assess and respond to applications for food bank referrals, emergency loans and emergency bursaries.

Provide tuition extensions due to extenuating circumstances.
Refer students to services at RDC and in the external community.
Collaborate with other SEC advisors to ensure the emergency funding program is operating effectively and efficiently.
Collaborate with the SEC Advisor – Communications to disperse emergency funding program information to students as appropriate.

Financial Wellness:

Refer students to financial wellness services at RDP and in the external community.
Assist students to budget their resources.

Recruitment Initiatives:
Support recruitment initiatives by providing high quality client service.
Provide tours of RDC Campus to prospective students when the SEC Recruiter is not available.

Required Qualifications

Four (4) year undergraduate degree, or three (3) year undergraduate degree plus one full additional year of university in Bachelor of Arts or Bachelor of Business Administration representing four years of study or equivalent.
