Full job description

Overview:

Our client, a rapidly expanding national leader in the wealth management and financial services sector, is seeking a Senior Trust & Estates Administrator. Operating across multiple entities with billions in managed assets, this organization prioritizes exceptional service and strong operational standards. Positioned within the Advisor Support team, this critical role focuses on trust and estate administration while delivering high-touch operational support to advisors and clients. The position can be a remote work situation.

What you will be doing:

Oversee the end-to-end processing of trust and estate accounts, including settlements, transfer requests, and related documentation management.
Serve as the primary operational authority for custodian back-office platforms, operational processes, and internal service workflows.
Resolve complex day-to-day client and advisor inquiries concerning account activity, transfers, deposits, and system usage, conducting platform demonstrations when required.
Manage multi-channel inquiry mailboxes, ensuring all incoming requests are answered within established service level agreements.
Execute timely follow-ups, monitor request statuses, and escalate critical issues through proper organizational channels.
Coordinate directly with external custodian partners to accelerate the resolution of pending items.
Collaborate across internal divisions and vendor networks to fulfill specialized operational and service requests.
Analyze incoming support requests to identify recurring operational trends and areas for department improvement.
Develop and deliver targeted system and process training for advisory groups.
Track and manage operational support tickets, ensuring accurate documentation and prompt resolution.
Stay current on regulatory shifts and firm updates to continuously refine service quality and compliance.
Participate in departmental discussions to resolve recurring process bottlenecks and improve workflow efficiency.
Solicit direct feedback from branch offices to enhance internal service delivery.
Support cross-functional special projects and provide ad-hoc operational capacity to adjacent business units as needed.

What you must have:

3–5 years of administrative experience within the financial services industry, preferably within a CIRO-regulated environment.
1–2 years of specialized, hands-on experience supporting trust and estate processing and administrative documentation.
Deep practical knowledge of custodian operations (including National Bank Independent Network/NBIN tools) and broad familiarity with registered/non-registered account types and compliance requirements.
Advanced written and verbal communication capabilities, combined with strong interpersonal skills.
High technical proficiency with standard office software (Microsoft Office Suite).
Exceptional analytical capability, sharp attention to detail, and proven problem-solving aptitudes.
Demonstrated ability to prioritize competing deadlines, manage high transaction volumes, and thrive in a fast-paced environment.

Salary/Rate Range: $65,000 - $80,000
