Full job description

Position Summary

Our client is seeking an experienced, highly organized, and detail-oriented Residential Construction Project Coordinator & Office Administrator to support the successful delivery of high-end residential construction projects. This role combines project coordination, estimating support, and office administration, requiring an individual who is equally comfortable working in the office, remotely, and on active construction sites.The successful candidate will work closely with ownership, architects, engineers, subcontractors, suppliers, and discerning clients to ensure projects remain organized, documented, and moving forward efficiently.This position offers a hybrid work environment with an average of 1–2 work-from-home days per week, depending on project requirements.

Key Responsibilities

Project Coordination

Manage project workflows using Buildertrend, the company's primary project management platform.
Coordinate project schedules, timelines, and project updates
.Prepare, track, and process change orders.
Maintain accurate project documentation and records.
Coordinate and distribute bid requests to subcontractors based on project scope and specifications.
Consolidate drawings, specifications, and documentation received from architects, engineers, and consultants.
Organize and maintain project files within Buildertrend and related document management systems.
Assist with procurement and subcontractor coordination.

Estimating & Take-Offs

Prepare quantity take-offs and assist with project estimating.
Utilize take-off software such as Stack, Square Takeoff, or similar platforms.
Review construction drawings and specifications to support budgeting and project planning.
Assist management with pricing analysis and bid preparation.

Site Coordination

Attend project and site meetings as required.Prepare detailed meeting minutes and distribute action items.
Track project deliverables and follow up on outstanding items.
Facilitate communication between clients, consultants, suppliers, subcontractors, and site personnel.
Support project reporting and status updates.

Office Administration

Provide administrative support to ownership and project teams.
Maintain organized digital and physical filing systems.
Prepare reports, correspondence, and project documentation.
Coordinate project communications and scheduling.
Assist with data entry and general office operations.

Required Qualifications

Technical Requirements

Experience using Buildertrend or the demonstrated ability to quickly learn and become proficient in Buildertrend.
Experience with other construction management software such as CoConstruct, Procore, JobTread, Contractor Foreman, or similar platforms is considered an asset.
Experience using take-off software such as Stack, Square Takeoff, or equivalent estimating platforms.
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).

Industry Experience

Minimum 3+ years of experience in construction project coordination, construction administration, estimating, or a related role.
Strong understanding of residential construction practices, terminology, drawings, and specifications.
Ability to read and interpret architectural and construction drawings.
Experience working with custom homes, renovations, luxury residential construction, or general contracting environments is preferred.

Communication Skills

Exceptional English verbal and written communication skills.
Strong business writing abilities with excellent attention to grammar, spelling, and professional correspondence without the useof AI.
Ability to prepare professional project documentation, meeting minutes, client communications, and reports.
Comfortable communicating with executives, high-net-worth clients, architects, consultants, tradespeople, and subcontractors.

Requirements

Must be legally authorized to work in Canada.
Canadian Citizen, Permanent Resident.
Valid G Driver's License.
Reliable personal vehicle and ability to travel between project sites.
Ability to work from home, in the office, and on active construction sites.

Compensation

Salary Range: $70,000 - $120,000

Compensation will be determined based on experience, capabilities, technical skills, construction knowledge, and overall fit for the role.
