As we continue to grow, we are looking to bring more structure, consistency, and strong financial governance to our day-to-day accounting operations - from billing and collections to cost controls and reporting.
We are seeking an experienced and detail-oriented Bookkeeper to work exclusively within our Residential Real Estate department. You will join a growing accounting team of three, reporting to our Director, Finance. This role is critical to maintaining accurate financial records, ensuring compliance with Law Society of Ontario trust accounting requirements, and supporting the efficient completion of real estate transactions.

Key Areas of Responsibility:
1. Trust & Banking Functions
- Perform daily and weekly bank runs, including deposits, certified cheques, bank drafts, wires, and EFT-related documentation
- Manage trust account transactions for residential real estate files
- Prepare and complete monthly trust account reconciliations in compliance with Law Society of Ontario requirements
- Monitor trust balances and ensure funds are properly received, disbursed, and recorded
- Assist with Law Society audits and internal compliance reviews as required
Accounting & Financial Operations
- Process and record all real estate-related financial transactions accurately and in a timely manner
- Prepare, review, and issue cheques, including trust and general account cheques
- Handle cheque production, review, and tracking for real estate closings
- Maintain detailed and organized financial records for each real estate file
- Ensure proper allocation of disbursements, adjustments, and recoveries
Billing & Invoicing
- Prepare and issue client invoices for residential real estate transactions
- Review accounts receivable and follow up on outstanding balances as needed
- Ensure invoices accurately reflect fees, disbursements, and applicable taxes
Cost Control & Reporting
- Track and monitor file-level costs and disbursements
- Identify discrepancies or irregularities and report them promptly
- Assist with internal cost controls and financial reporting related to the real estate department
Administrative & File Support
- Maintain organized bookkeeping records in both electronic and paper formats
- Liaise with lawyers, law clerks, lenders, and financial institutions regarding file-related financial matters
- Support file closing processes by ensuring all financial components are complete and reconciled
Required Experience & Skills
- Minimum 5 years of full-cycle bookkeeping experience, including month-end close and journal entry posting
- Strong attention to detail and high level of accuracy
- Ability to manage multiple files and deadlines in a fast-paced environment
- Strong organizational and record-keeping skills
- Strong MS Office skills (intermediate Excel skills are a must)
- Strong interpersonal and communication skills
- Highly motivated, team-oriented, and able to stay calm and composed during high-volume, fast-paced periods
- Legally eligible to work in Canada
The following experience/skills would be considered strong assets:
- Post-secondary education in accounting/finance
- Direct experience within an Ontario law firm, including residential real estate transactions
- Working knowledge of Law Society of Ontario trust accounting rules
- Experience with legal accounting software (e.g., PCLaw, Unity, or equivalent)
