Full job description

RCS Staffing has an immediate need for a Proposal Coordinator in Greater Toronto Area, Canada. This is a full-time contract Remote assignment with our client (with potential to convert to full time). This position offers a competitive package including benefits, vacation and holidays.

Overview of YOUR role as a Proposal Coordinator

As a Proposal Coordinator, you will lead the development of complex proposals and presentations to win competitive projects across North America. You will manage all aspects of proposal development from initial RFP assessment through final submission and presentation, working closely with technical staff and capture teams to create compelling, compliant proposals that showcase our client's capabilities and win themes.

As a Proposal Coordinator YOU will:

· Manage multiple proposal projects simultaneously, assessing RFP/RFQ requirements and developing response plans with clear timelines and resource allocation
· Lead meetings with technical staff, capture teams, and partners to define win themes, key messages, and content requirements
· Conduct research, competitive analysis, and write compelling proposal content including project descriptions, resumes, storyboards, and presentation materials
· Develop proposal layouts and graphics, ensuring brand alignment, consistency, and effective visual communication
· Lead quality assurance reviews to confirm compliance, accuracy, and effective messaging before final submission
· Maintain proposal archives and content libraries using enterprise systems
· Build and maintain relationships with technical staff, subject matter experts, and teaming partners to support effective collaboration
· Support business development through capture planning, competitive analysis, and lessons learned documentation

YOU are the ideal Proposal Coordinator candidate if you have:

· 5+ years of proposal development and production experience, preferably in the AEC industry
· Bachelor's degree in Marketing, Communications, Technical Writing, or related field
· Excellent writing, editing, proofreading, and visual communication skills with strong attention to detail
· Proficiency with Microsoft Office (Word, PowerPoint, Excel) and Adobe Creative Suite (InDesign, Illustrator, Photoshop)
· Experience with SharePoint and CRM software
· Strong project management and time management skills with the ability to prioritize and multi-task in fast-paced environments
· Excellent interpersonal skills and ability to communicate effectively with technical staff and management
· Self-starter mentality with strong organizational and analytical abilities

It's a BONUS if you have:

· Advanced degree in Marketing, Communications, or Business
· Experience in government contracting and compliance
· Proposal management software experience
· International proposal experience
· Background leading proposal teams or capture processes
